Job Description:
The position is responsible for IT support and troubleshooting for systems used by SPC. This includes Workday Financials for Procurement, and BrownBuys e-Marketplace platform in Jaggaer.
This position serves as the SPC team lead for defining, testing and implementing new functionality for:
- Workday Release updates (twice yearly) and new projects
- Jaggaer Release updates (twice yearly) and new projects/ changes to BrownBuys Marketplace
This position is responsible for communications and training materials for SPC policies and processes and acts as point of contact for Workday Training.
Major Responsibilities:
- Provide IT support for systems used by Strategic Procurement and Contracts Office (SPC) and Brown departments related to Procurement
- Provide IT user support for the SPC office for the following systems: Workday Financials (Procurement, BrownBuys e-Marketplace (on Jaggaer platform) and back up support for Brown Contract Management (BCM on Jaggaer platform)
- Serve as system administrator for BrownBuys e-Marketplace/ Jaggaer platform (more detail provided in separate section below; which includes monitoring and fixing issues in the Supplier, Purchase Order and Invoice integrations
- Investigate and fix integration issues between Workday and Jaggaer for Suppliers, Purchase Orders, and Invoices
- Provide responses to email requests; i.e. answer questions, provide direction and one to one training. (E-Mail requests received from SPC and other Brown departments)
- Resolve and monitor issues received via Ticket System(s), (for example, Deskpro).
- Lead for testing and implementation of Workday releases 2x yearly; includes complete regression testing and new functionality testing
- Lead for testing and implementation for Jaggaer Release Testing for e-Marketplace (BrownBuys) 3x yearly; includes complete regression testing and new functionality testing
- IT Procurement Lead for SPC for new and/or changing functionality for Workday Procurement, Workday Suppliers, and general Workday enhancements requested by other departments
- Managing Procurement and/or Project Team
- Managing Project Tasks
- Create project documentation
- Work with OIT and the Workday Program to create and explore integrations options
- Work with OIT and the Workday Program regarding security/access changes precipitated by new function
- Lead for Procurement testing of new functionality
- Lead or provide training and communications on updates to department users and SPC users
- Write job aids and edit screencasts for Procurement functions;
- Testing for Workday and SPC initiatives (for ex., Workday Supplier Onboarding, supplier additions to BrownBuys Marketplace, subaward contracts)
- Participate in other department initiatives by providing testing support.
- Implementing new BrownBuys suppliers in the e-Marketplace when requested
- Working with OIT and the Workday Program to set up security and tailored processes for user access to restricted BrownBuys Suppliers
- Approving requested changes (ticket requests) to Shopper Role for access to restricted suppliers in BrownBuys (Dell)
- Clearing invoice export errors; communicating with OIT and suppliers to explain process breakdown and steps to remediate
- Manage Jaggaer Release testing 3x yearly for BrownBuys
- Testing for BCM changes when impacting Workday and/or BrownBuys
- Creating new BCM users
- Lead and point of contact for training instruction content, creation and update of Workday Procurement job aids
- Lead for University-wide communications involving changes to Workday Procurement and BrownBuys (Jaggaer e-Marketplace platform)
- Write job aids for new functionality impacting end users
- Write Workday Communications to end users regarding ongoing maintenance and new functionality to be implemented
- Conduct training sessions/coordinate training needs with the Workday Program team for Workday business processes and SPC staff for procurement policy training needs
Job Qualifications:
Education and Experience
- Bachelor’s degree in Business Administration or related field preferred
- Three or more years in related experience, preferably in higher education or an organization with complex business and compliance structure
Job Competencies
- Experience with business analysis; experience in creating business processes
- Workday experience highly desirable
- Experience with systems support and/or customer support highly desirable
- Knowledge in Change Management /performance improvement methodology highly desirable
- Understanding of Procurement, Accounting and Audit processes desirable
- Demonstrated problem solving skills required.
- Strong analytical skills
- Strong interpersonal skills in order to garner consensus and make recommendations.
- Ability to handle and prioritize multiple projects/work efforts at one time
- Superior project management skill
- Ability to create and provide training and willingness to be a presenter in campus wide events.
- Ability to deal with several different groups and teams of people in order to understand competing priorities compared to a system’s capabilities and translate that into what will become business processes
- Ability to synthesize large amounts of information in order to make decisions and resolve issues as projects move forward and pick up momentum
