A Day in the Life
The Systems Implementation & Optimization Facilitator supports the successful rollout, adoption, stabilization, and operational optimization of Aspire products, platform capabilities, and warehouse management solutions across NRI operations. Reporting to the Systems Implementation & Optimization Manager, the Facilitator organizes implementation activities, maintains project documentation and readiness trackers, supports testing and operational readiness efforts, coordinates site and stakeholder activities, assists with trainer enablement and knowledge transfer, and supports post-go-live stabilization and continuous improvement initiatives. While Product owns product strategy and feature direction, Development owns software delivery, and this role supports Technical Projects in preparing the business for deployment and helping warehouse teams adopt and effectively use the delivered solution.
This is an onsite opportunity with frequent travel required throughout North America
What does success look like in this role?
- Implementation tasks, dependencies, risks, decisions, and due dates are accurately documented and actively followed through to completion.
- Sites receive the information, materials, training, and support needed to prepare for Aspire releases and process changes.
- Testing evidence, readiness checklists, SOPs, training records, and go-live documentation are complete, current, and accessible.
- Operational feedback and post-go-live issues are captured clearly, categorized appropriately, and routed to the correct owner.
- Warehouse users demonstrate sustained adoption of the implemented process or feature.

All About You
What You’ll bring to the role:
- Working knowledge of warehouse operations, inventory control, receiving, putaway, replenishment, picking, packing, shipping, returns, or related distribution processes.
- Ability to learn and support WMS functionality, configuration concepts, workflows, and operational dependencies. Experience with Aspire or another enterprise WMS is an asset.
- Strong organization, follow-through, documentation, and task-management skills, with the ability to coordinate multiple activities and deadlines.
- Ability to translate warehouse observations and user feedback into clear process notes, test evidence, issue descriptions, and action items.
- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and SharePoint. Experience with Asana, Jira, Aha, Power BI, SQL, SSMS, or similar tools is an asset.
- Clear written and verbal communication skills with the ability to work effectively with warehouse users, leaders, technical teams, and vendors.
- Practical problem-solving skills, attention to detail, adaptability, and commitment to safe and standardized work practices.
- Ability to operate effectively during testing, cutover, and go-live periods and to escalate concerns promptly.
The Must Haves:
- Associate or bachelor’s degree in information technology, Supply Chain, Logistics, Business, Project Management, or a related field is preferred. Equivalent relevant experience will be considered.
- Two or more years of experience in warehouse operations, WMS support, systems adoption, project coordination, continuous improvement, or a related role is preferred.
- Experience supporting system implementations, operational projects, testing, training, SOP development, or process improvement is preferred.
- Experience in a multi-site, multi-client, 3PL, or complex distribution environment is an asset.
- Must have physical ability to carry out essential job functions, including but not limited to, sitting for long periods of time, occasionally walking and standing, climbing ladders/stairs, and tolerating conditions such as dust, dirt, noise, odors, heat, cold, etc. when stepping into the warehouse
Things You Will be Doing
- Implementation Coordination
- Support implementation plans and rollout schedules for Aspire products, features, and process changes under the direction of the Manager.
- Coordinate meetings, action items, site activities, training dates, testing windows, cutover tasks, and go-live support coverage.
- Maintain project trackers, readiness checklists, risk and issue logs, decision logs, contact lists, and implementation documentation.
- Follow up with Operations, IT, Product, Development, Integrations, Inventory, Client Services, vendors, and other stakeholders on assigned actions and dependencies.
- Escalate missed commitments, operational risks, conflicting requirements, and readiness concerns to the Manager.
- Operational Readiness & Rollout Support
- Assist with confirming readiness across users, devices, access, master data, configuration, operating procedures, reporting, training, and support coverage.
- Coordinate pilot and rollout activities across warehouse sites, including schedules, communications, materials, attendance, and completion tracking.
- Support go-live and stabilization activities by capturing issues, coordinating updates, maintaining visibility, and confirming follow-up actions.
- Help transition completed implementations into standard operational and support processes.
- Testing & Validation Support
- Prepare and maintain test scripts, test data, scenarios, results, screenshots, and signoff records based on approved requirements and acceptance criteria.
- Coordinate functional testing, end-to-end testing, user acceptance testing, and regression testing with assigned subject matter experts and super users.
- Log defects and observations with clear reproduction steps, expected results, actual results, business impact, and supporting evidence.
- Confirm retesting and closure status, while routing product questions and development defects to the appropriate owner.
Training, Documentation & Adoption
- Assist with creating and maintaining SOPs, quick-reference guides, rollout communications, FAQs, job aids, and train-the-trainer materials.
- Coordinate training logistics and support delivery of system demonstrations, hands-on sessions, and end-user follow-up.
- Maintain training attendance, completion records, feedback, and identified knowledge gaps.
- Monitor initial adoption and collect warehouse feedback to identify process confusion, training needs, configuration concerns, or enhancement opportunities.
- Operational Adoption & Solution Optimization
- Observe warehouse workflows and gather input from end users and operational leaders on how released capabilities perform in practice.
- Assist with documenting current-state and future-state processes, pain points, exceptions, workarounds, and opportunities for standardization.
- Compile operational data and feedback to support post-implementation reviews and continuous improvement activities.
- Help distinguish whether an issue is related to process, training, configuration, data, integration, support, or software functionality before routing it for review.
- Support approved improvement initiatives while respecting that Product owns feature direction and Development owns the software build.
- Reporting & Governance
- Prepare recurring status updates covering progress, upcoming activities, risks, issues, decisions, adoption observations, and support needs.
- Maintain organized project records in approved collaboration and work-management tools.
- Support measurement of implementation outcomes such as readiness completion, training completion, adoption, issue volume, cycle time, inventory accuracy, throughput, and rework, when applicable.
- Ensure lessons learned and improvement recommendations are documented and shared with the Manager.
- Additional Responsibilities
- Participate in implementation workshops, warehouse observations, process reviews, release meetings, and post-go-live reviews.
- Serve as a professional and responsive point of coordination for assigned implementation activities.
- Travel to warehouse sites as required to support testing, training, rollout, and stabilization activities.
- Perform other duties as assigned in support of Aspire implementation, adoption, and operational improvement objectives.
WORKING CONDITIONS & TRAVEL
- Travel to warehouses and distribution sites is required from time to time, including support during implementation and go-live periods.
- Work may occur in office, remote, and active warehouse environments. The role requires the ability to walk and stand for extended periods when on site, use stairs, and tolerate typical warehouse conditions such as noise, dust, temperature variation, and equipment traffic.
- Occasional work outside standard business hours may be required to support releases, cutovers, or operational stabilization.
