Everforth ECS is seeking a Systems Analyst to work remotely.
BACKGROUND:
Our government customer centered in marine operations has administrative files linked to environmental, safety and industrial hygiene topics with requirements to retain specific files on established timelines; however, all three subjects lack clear / sufficient understanding and systematic and repeatable processes for holding files for retention. Furthermore, the customer is in receipt of many boxes of hardcopy, legacy files that need to be sorted and scanned for retention.
Our government client requests assistance from an individual with experience as a file retention specialist with government agencies and familiarity with National Archives file processing requirements to execute these specific actions:
- Finish the Marine Operations / Safety & Environmental Management Branch (SEMB) File Retention Plan - completed mostly in a remote status
- Review & finalize draft plan for all existing rows on the table.
- Determine what additional files may require assessment (i.e. what’s missing from the table) via meetings w/ SEMB staff (including: training, safety, environmental, and industrial hygiene).
- Establish retention requirements for any new file types.
- Optimize the table to make it more user-friendly.
- Establish a system for future file retention - (completed mostly in a remote status)
- Recommend & assist with establishing an electronic file structure for retaining electronic documents, including labeling system.
- Recommend annual process to identify records for dispossession each year.
- Provide a briefing to SEMB (and possibly training) about new process (can happen last once all other work is going well).
- Manage boxes of hardcopy legacy documents & files - mostly @ MOCP
- Manage ~8 linear feet of files; evaluating according to the File Retention Plan.
- Scan files that still must be retained.
- File newly scanned docs into new file structure & assist with conveying to permanent / NARA storage where needed.
- Evaluate and consult on existing Google Docs - both in person & remote
- Help to identify files w/ retention requirements lurking in our files.
- Recommend a method to retain them in the ‘new file structure’.
- Potentially assist with shifting documents to new structure or to permanent.
- Evaluate and consult on existing file woes at other locations - travel or remote
- Potentially travel to Norfolk, VA to manage legacy hardcopy files for safety.
- Potentially travel to Norfolk, VA to manage legacy hardcopy files for training.
Salary Range: $25.00-$35.00
