About The Role

Assists in the set-up of new groups and ongoing maintenance in web portal and on-line enrollment system. Works with outside vendors to complete required filing and reporting. Assists with the onboarding of new clients and/or renewal of existing clients utilizing on-line enrollment systems, including set-up new groups/plan documents/system enhancements. Works with programmer(s) to maintain functionality of current on-line enrollment system. Assists with reviewing discrepancy reports and audits on-line enrollment system and web portal to ensure accurate information is being captured and/or displaced in both systems.

Responsibilities: 

  • Set up online benefit enrollment system for new clients, by programming general client information, various insurance benefit details, enrollment eligibility criteria, carrier premiums, employee premium cost shares, and plan documents into system templates.
  • Lead system implementation call with clients to ensure their benefits enrollment needs are met.
  • Collaborate with internal staff and benefit carriers to gather necessary benefit information for programming.
  • Test and troubleshoot programming to ensure the enrollment process works correctly for every scenario. 
  • Import and audit employee demographic data and benefit enrollment data. 
  • Train client Human Resources staff on Admin functions of online enrollment system in person or via Microsoft Teams. 
  • Support our internal staff and group HR, at onsite employee meetings, for annual open enrollment as well as ongoing support via phone/email throughout the year. 
  • Stay up to date on new software releases and changed or added functionalities of enrollment system. 
  • Proactively seek potential uses of enrollment system to ensure or develop additional services to clients and create greater efficiency in agency processes. 
  • Process annual ACA Reporting (1094 and 1095), including electronic filing with the IRS on behalf of the clients. 
  • Develop and maintain a positive relationship and rapport with each client. 
  • Develop and maintain a positive relationship and rapport with benefit enrollment system support staff, requesting enhancements to the system as needed. 
  • Attend regularly scheduled training and conferences when content is deemed advantageous. 
  • Participate and contribute to department meetings.
  • Comply with agency standards, policies, and procedures.

Requirements: 

  • Strong organizational and time management skills, along with a demonstrated attention to detail 
  • Superior skills in leadership, employee development, and employee engagement 
  • Professional verbal and written communication skills 
  • Excellent technology and computer system skills. 
  • Ability to establish credibility and develop strong relationships with internal stakeholders through ethics, integrity, professionalism, and mutual respect. 
  • Ability to make appropriate and timely key business decisions. 
  • Effective change management, time management, and follow-up skills 
  • Excellent critical thinking skills: ability to troubleshoot.
  • Proficient computer skills with agency management software systems, basic working knowledge required/Intermediate knowledge preferred of Microsoft:  Word, Outlook, PowerPoint, Excel, and OneNote.
  • Customer service oriented. 
  • Employee Navigator experience preferred.
  • Knowledge of Agency Management Systems; Applied Epic a plus.
  • Able to function independently and as part of a team. 

Education/Experience:

  • High school diploma or recognized equivalent is required.
  • Associate degree or higher is preferred, or equitable experience.
  • Minimum 2 years of customer service experience is preferred.
