Position: Switchboard Operator
About Us:
Join our dynamic medical practice team dedicated to providing excellent patient care! We are a busy and growing practice with a focus on creating a supportive and efficient environment for both our patients and staff. We are currently looking for a Switchboard Operator to join our team.
Position Overview:
The Switchboard Operator will be the first point of contact for patients, responsible for handling phone calls and processing incoming faxes. This individual will play a key role in ensuring smooth communication within the practice. Additionally, the Switchboard Operator will be cross-trained to assist with patient check-in and check-out processes.
Key Responsibilities:
- Answer and direct incoming phone calls in a professional and courteous manner.
- Process and distribute incoming faxes accurately and efficiently.
- Assist with scheduling patient appointments.
- Provide information to callers and route messages to appropriate staff members.
- Cross-train to assist with patient check-in and check-out, ensuring smooth and friendly patient flow.
- Maintain confidentiality and handle sensitive information following HIPAA guidelines.
- Perform other administrative duties as needed to support the practice.
Qualifications:
- High school diploma or equivalent.
- Excellent communication and customer service skills.
- Ability to handle a multi-line phone system.
- Strong organizational skills and attention to detail.
- Ability to multitask and work efficiently in a fast-paced environment.
- Prior experience in a medical office is a plus, but not required.
- Familiarity with basic office equipment (fax machines, scanners, etc.).
- Willingness to learn and take on additional responsibilities.
