Supply Chain Onboarding Associate

Role Overview

The Supply Chain Onboarding Associate is responsible for onboarding suppliers, completing required due diligence checks, and maintaining ongoing supplier compliance.

This role ensures suppliers are vetted, contractually aligned, system-enabled, and continuously compliant prior to and post-activation. The associate works cross-functionally with Contracts, Implementation, and SIA teams to enable seamless onboarding, payment setup, and VMS configuration.

Supplier compliance is not a one-time activity; this role ensures ongoing BAU governance by monitoring document expirations and maintaining audit readiness throughout the supplier lifecycle.

Key Responsibilities

1. Supplier Onboarding & Data Management (HICX Platform)

• Manage end-to-end supplier onboarding within the HICX Platform.
• Validate supplier profile data for completeness and accuracy.
• Review and verify statutory documents, tax forms, banking details, certifications, and compliance declarations.
• Follow up with suppliers for documentation gaps or corrections.
• Maintain onboarding trackers and ensure adherence to defined SLAs.

2. Contract Coordination & Activation Control

• Coordinate with Contracts Team for execution of NDAs, Supplier Agreements, and Tri-Partite Agreements (TPAs).
• Track contract status and ensure fully executed agreements are received prior to supplier activation and completion of onboarding.
• Ensure all contractual documentation is validated and audit-ready before enabling supplier setup in downstream systems.
• Escalate contractual delays or discrepancies impacting onboarding timelines.

3. Due Diligence, Compliance & Risk Assessment

• Conduct comprehensive supplier due diligence during onboarding.
• Validate Supplier Insurance Certificates, Financial Statements, EA Licenses (APAC region), and Diversity Certifications.
• Perform risk categorization based on geography, service type, financial exposure, and regulatory requirements.
• Flag high-risk suppliers and escalate for stakeholder review and approval.
• Maintain audit-ready documentation within systems and trackers.

4. Cross-Functional Stakeholder Coordination

• Coordinate with Contracts Team for timely agreement execution.
• Align with Implementation Team on supplier activation milestones and go-live readiness.
• Coordinate with SIA Team for payment setup and vendor master enablement.
• Support VMS configuration and onboarding in Beeline and SAP Fieldglass.
• Ensure supplier data integrity from HICX through downstream systems.

5. Ongoing Supplier Compliance (BAU Governance)

• Continuously monitor supplier compliance post-onboarding.
• Track expiration timelines for Insurance Certificates, EA Licenses (APAC), and Diversity Certifications.
• Proactively follow up with suppliers for renewal documentation prior to expiry.
• Update compliance records within HICX Platform.
• Support periodic internal and external audits.

6. Reporting & Process Governance

• Track onboarding volume, turnaround time (TAT), SLA adherence, and bottlenecks.
• Maintain compliance dashboards and audit logs.
• Identify process improvement opportunities.
• Support governance reviews and continuous process enhancement initiatives.

Required Skills & Competencies

Functional Skills

• Experience in supplier onboarding, procurement operations, or vendor lifecycle management.
• Knowledge of due diligence and compliance validation processes.
• Experience working with supplier management platforms (HICX preferred).
• Understanding of contract workflows and governance controls.
• Familiarity with VMS platforms such as Beeline and SAP Fieldglass.

Qualifications

• Bachelor’s degree in business, Commerce, Supply Chain, or related field.
• 1–3 years of relevant experience in supplier onboarding, compliance, or procurement operations.

Key Performance Indicators (KPIs)

• Onboarding TAT and SLA adherence.
• Accuracy and completeness of supplier documentation.
• Percentage of onboarding cases completed without rework.
• Timely contract execution prior to activation.
• Compliance renewal adherence rate.
• Escalation rate due to high-risk supplier flags.

• Bachelor’s Degree Business, or related major or equivalent business experience (preferred).  

• Must have strong technical, organizational and communication skills (both written and verbal). 
• Attention to detail and passion for quality. 
• Must have strong problem-solving capabilities, strong analytical skills, and flexibility to handle multiple tasks concurrently. 
• Ability to successfully interact with Customer and Supplier representatives alike with tact and confidence.
