Key Responsibilities
Supply Chain & Inventory Management
- Develop and implement local supply chain strategies that improve efficiency, availability, standardization, and cost effectiveness.
- Oversee hospital inventory, including medical supplies, pharmaceuticals, consumables, specialty products, and operational supplies.
- Establish and maintain appropriate par levels based on hospital volume, utilization, lead times, and clinical requirements.
- Ensure critical supplies remain available while minimizing excess inventory and carrying costs.
- Monitor inventory utilization, purchasing trends, shortages, backorders, expiration dates, and product waste.
- Establish standardized ordering and purchasing processes and appropriate purchasing controls.
- Conduct regular inventory audits and maintain accurate inventory records.
- Identify and implement opportunities to reduce expired, obsolete, duplicate, or unnecessary inventory.
- Develop contingency plans for critical products vulnerable to shortages or supply-chain disruptions.
- Identify opportunities to reduce cost of goods sold (COGS) without compromising patient care or medical quality.
- Partner with clinical departments to evaluate new products while balancing medical preference, operational need, standardization, and cost.
- Establish best practices that can be consistently implemented across hospitals.
- Oversee purchasing activities and vendor relationships to ensure competitive pricing, service levels, product availability, and contract compliance.
- Develop and maintain strategic relationships with key suppliers, manufacturers, and service providers.
- Evaluate vendors and identify opportunities for consolidation, standardization, and improved pricing.
- Negotiate pricing, terms, service agreements, and purchasing arrangements when appropriate.
- Monitor vendor performance and proactively address service, quality, pricing, and delivery concerns.
- Develop sourcing strategies that provide the best overall value rather than focusing solely on purchase price.
- Partner with leadership and clinical teams to establish product standards and preferred vendors.
- Maintain oversight of hospital medical and operational equipment, including location, condition, service history, warranty information, and expected useful life.
- Develop and maintain a comprehensive equipment inventory and asset tracking system.
- Establish standardized processes for equipment acquisition, deployment, relocation, repair, replacement, and retirement.
- Ensure equipment is properly tracked and accounted for throughout its lifecycle.
- Monitor aging equipment and proactively identify equipment approaching end-of-life or presenting increasing operational risk.
- Coordinate equipment installations, relocations, upgrades, replacements, and removals.
- Partner with hospital and regional leadership to develop annual and long-term capital equipment plans.
- Assist with capital budgeting and prioritization based on operational need, patient care, risk, and return on investment.
- Develop and maintain a comprehensive preventive maintenance program for medical and operational equipment.
- Ensure required preventive maintenance is scheduled, completed, documented, and tracked.
- Maintain a proactive PM calendar and ensure equipment does not fall out of required service intervals.
- Coordinate equipment repairs and service calls while minimizing disruption to hospital operations.
- Maintain and evaluate equipment service agreements to ensure they remain financially and operationally beneficial.
- Track equipment downtime, recurring failures, repair costs, and service trends to identify replacement or process-improvement opportunities.
- Develop proactive strategies to reduce unexpected equipment failures and operational disruptions.
- Monitor purchasing and inventory metrics to identify trends, opportunities, and areas of financial risk.
- Provide regular reporting and recommendations to hospital and regional leadership.
- Drive continuous improvement through data-based decision making and measurable outcomes.
- Develop, coach, and support local hospital supply chain and inventory teams to ensure consistent execution and accountability.
- Establish minimum operational standards and best practices across participating hospitals.
- Partner with hospital leaders, medical teams, finance, operations, and national supply chain leadership to identify organizational needs and develop solutions.
- Lead initiatives that improve workflow, standardization, efficiency, and profitability.
- Identify opportunities to appropriately leverage technology to improve purchasing, inventory, asset tracking, and maintenance processes.
- Develop scalable processes that support current operations as well as future hospital growth.
- Take a proactive rather than reactive approach to supply chain and equipment management—anticipating issues and addressing them before they become hospital emergencies.
- Bachelor's degree or equivalent combination of education and experience required.
- 3–5+ years of experience in supply chain, purchasing, inventory management, operations, asset management, or a related field.
- Healthcare, veterinary, or other complex clinical environment experience strongly preferred.
- Experience managing inventory and purchasing within a large, complex, high-volume organization.
- Demonstrated experience managing vendors, service providers, contracts, and equipment repairs.
- Experience managing budgets, capital expenditures, and financial performance.
- Demonstrated leadership experience, including developing and supporting teams across multiple locations.
- Strong project-management and organizational skills with the ability to manage multiple priorities simultaneously.
- Strong analytical skills and the ability to use data to identify trends, solve problems, and drive decisions.
- Demonstrated ability to anticipate problems, independently drive issues through resolution, and operate effectively in a fast-paced environment.
