Supply Chain Management Specialist

As a Supply Chain Management Specialist, you’ll play a key role in managing procurement, supplier relationships, inventory, and logistics to support efficient project operations. You’ll analyze costs, negotiate with vendors, monitor performance, and identify opportunities to improve processes and supply chain outcomes. This role is ideal for a detail-oriented, collaborative professional who thrives in a fast-paced environment and can balance competing priorities while maintaining accuracy, compliance, and strong supplier partnerships.

Key Responsibilities:

  • Supplier and Stakeholder Management
    • Manage relationships with suppliers and internal project leads, ensuring clear communication and collaboration.
    • Document stakeholder feedback, resolve performance or delivery issues, and escalate complex issues as needed.
  • Procurement and Contract Administration
    • Execute purchasing workflows, including preparing requisitions, gathering quotes or bids, and verifying compliance with policies and project specifications.
    • Draft and maintain scopes of work, pricing schedules, and contract summaries in coordination with the procurement director.
    • Maintain organized records and ensure complete contract documentation.
  • Cost and Process Optimization
    • Analyze purchasing data to identify inefficiencies and recommend process improvements.
    • Benchmark prices, logistics costs, and supplier terms to ensure competitiveness, supporting continuous improvement across procurement operations.
  • Inventory and Material Management
    • Monitor inventory levels, forecast material needs, and coordinate delivery schedules.
    • Inspect incoming goods for quality and accuracy, reconcile invoices and shipping documents, and maintain up-to-date inventory records in tracking systems.
  • Supplier Negotiation and Performance Oversight
    • Negotiate pricing, terms, and delivery schedules to achieve best-value outcomes.
    • Evaluate vendor performance against KPIs and SLAs, document nonconformance or delays, and define corrective actions to maintain service standards.
  • Reporting, Forecasting, and Supply Chain Management
    • Maintain pricing databases, cost comparison tools, and procurement performance dashboards.
    • Generate analytical reports on cost trends, vendor performance, and fulfillment metrics. Support demand forecasting, supply chain risk assessment, and logistics optimization strategies.
  • Ethics and Compliance
    • Uphold integrity and transparency in procurement practices, ensure equitable vendor treatment, audit for policy compliance, and report conflicts of interest or irregularities promptly.

Qualifications:

  • Minimum of (2) years relevant supply chain experience.
  • High school degree or equivalent required. Business or related college degrees are preferred.
  • Bilingual Spanish language and writing skills are preferred.
  • Solid written and verbal communication and organizational skills to meet strict timelines.
  • Proficient in Word, Excel, Access, and Outlook.
  • Ability to remain calm, focused, and effective under time-sensitive circumstances.
  • Strong time management, leadership, project management, and decision-making skills.
  • A valid Driver's License is required.

Physical Requirements:

  • Primarily sedentary work is performed in an office and/or hybrid environment.
  • Ability to sit for extended periods while working at a computer and using standard office equipment (e.g., keyboard, mouse, monitors, telephone).
  • Frequent hand and finger dexterity is required for data entry, document preparation, and electronic communications.
  • Ability to communicate effectively in person, by phone, and via email or virtual meeting platforms.
  • May require occasional standing, walking, bending, or reaching, particularly when reviewing inventory, receiving deliveries, or participating in site visits.
  • Ability to lift and carry up to 25 pounds occasionally (e.g., samples, documents, or small packages), with or without reasonable accommodation.
  • Visual ability sufficient to read contracts, reports, and data on screens and in print.

Work Environment:

  • Work is typically performed in a professional office environment, with periodic exposure to warehouses, supplier sites, or project locations.
  • Occasional exposure to warehouse or logistics settings, including temperature variations, noise, or moving equipment, during inventory inspections or supplier visits.
  • Standard business hours are expected, with occasional extended hours required to meet project deadlines, support audits, or address urgent procurement or supply chain issues.
  • May require limited local or regional travel for supplier meetings, facility reviews, or contract negotiations.
  • Work involves regular interaction with internal stakeholders, suppliers, and vendors, requiring professionalism and collaboration.
  • Must be able to manage multiple priorities and deadlines in a fast-paced environment while maintaining accuracy and compliance.


Skills Required
