Description
Position SummaryWe are seeking a detail-oriented and client-focused Supply Chain Coordinator to serve as the dedicated supply chain contact for one to two assigned clients at their Gifthealth site. This is an entry- to mid-level role designed for someone who is ready to take direct ownership of a client’s supply chain operations, working closely with the Supply Chain Manager and the broader operations team to ensure each client’s program runs smoothly, accurately, and without disruption. The Supply Chain Coordinator will manage daily supply chain activity for their clients, support onboarding and setup, monitor for risk, and maintain clear and proactive communication with both the client and internal teams. This role sits within a team structure where the Supply Chain Supervisor owns site-wide accountability, giving the Coordinator focused depth on a smaller client portfolio and a clear path to grow into broader responsibilities over time.
Key ResponsibilitiesDay-to-Day Client Supply Chain Management
- Serve as the primary day-to-day supply chain point of contact for one to two assigned clients, developing a working knowledge of each client’s products, order patterns, and operational requirements.
- Monitor open orders, inventory levels, and inbound shipments for assigned clients daily, flagging any issues, delays, or discrepancies to the Supply Chain Manager and the client as appropriate.
- Maintain regular communication with assigned clients, providing timely and accurate updates on order status, supply availability, and any known risks to their supply chain.
- Coordinate with warehouse, receiving, procurement, and fulfillment teams to ensure client orders are picked, packed, and shipped accurately and on time, in accordance with client-specific requirements.
- Escalate supply chain issues that exceed the Coordinator’s scope or authority to the Supply Chain Manager or Supervisor promptly, with a clear summary of the situation and any steps already taken.
Supply Chain Monitoring and Risk Communication
- Monitor supply chain health for assigned clients across inventory, procurement, and fulfillment, proactively identifying risks before they affect the client’s operations.
- Communicate supply chain risks and disruptions to clients clearly and promptly, including a description of the issue, current impact, and the steps being taken to resolve it, in alignment with the Supply Chain Manager.
- Track client-specific metrics including order accuracy, fill rates, and on-time delivery, surfacing trends or recurring issues to the Supply Chain Manager for review.
- Support the development and upkeep of client-specific contingency documentation to ensure operations can continue smoothly in the event of supply disruptions or procedural changes.
Client Onboarding Support
- Actively participate in the onboarding process for assigned clients, supporting the setup of regulatory requirements, storage conditions, handling protocols, and documentation standards ahead of the client’s first order.
- Assist with configuring client-specific packaging, labeling, and order workflows in coordination with operations, ensuring all processes are documented and tested before go-live.
- Support item and vendor setup in the ERP system for onboarding clients, including item master data, order parameters, and any client-specific compliance attributes such as lot tracking or temperature requirements.
- Participate in post-launch reviews following new client go-lives, identifying gaps or process adjustments needed to bring the client’s supply chain to steady-state performance, and communicating findings to the Supply Chain Manager.
ERP and Data Accuracy
- Use Acumatica to monitor and manage client order activity including open orders, receipts, inventory adjustments, and fulfillment transactions, ensuring records are accurate and up to date.
- Identify and report ERP data discrepancies related to client inventory or order records, coordinating with the ERP team or Supply Chain Manager to resolve them promptly.
- Maintain accurate and organized records of client communications, order documentation, and compliance requirements tied to each assigned client program.
- Education: Associate’s or Bachelor’s degree in Supply Chain Management, Business Administration, Operations, or a related field preferred; or equivalent experience in a supply chain, logistics, or operations support role.
- Licensure/Certification: Not required. APICS CSCP or CPIM certification, or progress toward one, is a plus.
- Experience: 1 to 3 years of experience in a supply chain, logistics, procurement, or operations coordination role. Prior exposure to client-facing responsibilities or account coordination is a plus but not required. Candidates who are early in their supply chain career and demonstrate strong organizational skills, a proactive communication style, and a willingness to learn are encouraged to apply.
- Skills:
- Clear and professional written and verbal communication skills, with the ability to keep clients and internal teams informed in a timely and accurate manner.
- Strong organizational skills and attention to detail, with the ability to manage multiple open items across one to two client programs without losing accuracy.
- Basic proficiency with ERP systems to monitor order activity, inventory, and fulfillment records; Acumatica experience is a plus.
- Working knowledge of supply chain fundamentals including ordering, inventory management, inbound logistics, and fulfillment processes.
- Proficiency with Microsoft Excel and standard business communication tools for tracking, reporting, and correspondence.
- A proactive mindset with a willingness to ask questions, flag problems early, and take ownership of outcomes for the clients in their care.
- Exposure to healthcare, pharmaceutical, specialty pharmacy, or other regulated distribution environments where compliance and product integrity are prioritized.
- Prior experience in a client-facing or account coordination role, even outside of supply chain, that demonstrates comfort managing expectations and communicating proactively.
- Familiarity with lot tracking, serialization, temperature-controlled storage, or expiration date management in a warehouse or distribution setting.
- Comfort working in a structured team environment where responsibilities are shared with a Supervisor and Manager, with a clear understanding of when to escalate versus resolve independently.
- Interest in growing within supply chain operations with a long-term goal of taking on broader client responsibility or team leadership.
- Location: On-site, Mesa AZ
- Schedule: Full-time; standard business hours with occasional flexibility needed during client onboardings or time-sensitive supply events.
- This role operates in a combination of office and warehouse environments; exposure to temperature-controlled areas is expected depending on client requirements.
- Regular collaboration with the Supply Chain Manager, Supply Chain Supervisor, and cross-functional operations teams to ensure client programs are running as designed.
- Must be able to remain stationary at a workstation for extended periods while managing client communications and ERP tasks.
- Must be able to move throughout warehouse and operational areas of the site as needed to support onboarding activities or daily operations.
- Must be comfortable working in temperature-controlled environments including cold and freezer areas as required by client product handling specifications.
