Position Summary:
The Supply Chain Assistant supports the Buying team by ensuring timely and accurate supplier communication, purchase order (PO) follow-up, and data maintenance. This role is critical in maintaining supplier accountability, improving PO visibility, and minimizing supply disruptions. The position focuses heavily on tracking unconfirmed and late purchase orders, driving supplier responsiveness, and supporting process improvements and automation initiatives within the supply chain function.

Essential Functions

- Purchase Order Management & Follow-Up
- Monitor open purchase orders to identify unconfirmed and past-due (late) orders
- Proactively follow up with suppliers to obtain:
- Order confirmations
- Updated ship dates
- Tracking and delivery details
- Maintain accurate records of supplier responses and commitments in ERP systems
- Escalate critical delays or non-responsive suppliers to Buyers in a timely manner
- Data Accuracy & Reporting
- Update and maintain PO data, including confirmations, due dates, and status changes
- Generate and distribute reports on:
- Unconfirmed POs
- Late POs
- Supplier responsiveness/performance
- Identify trends and recurring issues impacting delivery performance
- Support for Buying Team
- Provide administrative and operational support to Buyers as needed
- Assist with order entry, updates, and documentation
- Help prioritize follow-ups based on business impact (e.g., critical stock, customer orders)
- Process Improvement & Automation
- Support initiatives to improve efficiency in PO follow-up processes
- Assist in developing or maintaining tools (e.g., email templates, trackers, automated reminders)
- Participate in projects aimed at automating supplier communications and reporting
- Ad Hoc Projects
- Assist with one-off supply chain or procurement projects as assigned
- Support cross-functional efforts related to inventory, supplier performance, or process optimization
Success Measures
- Reduction in unconfirmed PO volume
- Improvement in supplier response times
- Decrease in late PO occurrences
- Accuracy and timeliness of PO data updates
Education, Skills, and Experience Required
- Associate’s degree in supply chain, business, operations, logistics, materials management, or related field, or significant work experience in mentioned areas.
- 1-2 years’ experience in supply chain, customer service or administrative support preferred
- Experience working with data, spreadsheets or ERP systems
- Polite and professional manners.
- Basic analytical skills to identify trends or issues in PO status and supplier performance
- Must possess the ability to organize and prioritize tasks, work collaboratively in a cross-functional environment, and ensure timely completion of responsibilities.
- Demonstrated proficiency in written and verbal communication and strong interpersonal skills.
- Demonstrated attention to detail.

Additional Skills Preferred
- Prior or current experience in the fastener industry.
- Proficiency in MRP/ERP systems and MS-Office applications, including Excel.
- Epicor Prophet 21 experience.
- Experience with Microsoft Power BI.
