Job Title: Supply Chain Analyst

Purpose of job:  Support the Warehouse Coordinator and Distribution in the administrative activities related to the warehouse and assembly line, seeking productivity, quality and safety.

Entry criteria:  A minimum of 3 years’ experience in manufacturing/production operations, including an understanding of manufacturing IT systems and warehousing/logistics.

Good interpersonal skills, computer literacy and numeracy will be essential.

Skill and Ability

To include all of the following:

  • Considers the priorities of the operation as well as knowing when to involve his/her direct manager or managers from other departments.
  • Is able to understand the operational issues that arise and can integrate with line managers and other departments on matters affecting the operation as a whole.
  • Responds positively to meet the needs of other departments and acts professionally when with clients, visitors and contractors.
  • Demonstrates an awareness of operational costs.
  • Able to communicate and implement change as directed.
  • To train the operational team on procedures.
  • Able to report on daily operational status as required.
  • Able to take appropriate actions to diffuse conflict or other situations arising.
  • Able to operate fluently with the MS Word, Excel and e-mail.

Level of Responsibilities

To include all of the following:

  • Elaborate and update warehouse processes and procedures.
  • Perform all stock movements in the computerized system.
  • Carry out the stock losses on the last day of the monthly fiscal period (manuals, supplies, etc.).
  • Archive and give proper destination to warehouse documents.
  • Ensure inventory accuracy through the planning and execution of annual inventories and weekly cycle counts.
  • Support the Warehouse and Distribution Coordinator in the implementation of strategic plans and objectives.
  • Manage freight deliveries in order to obtain better distribution and costs.
  • Monitor operational KPIs and generate monthly measurement reports.
  • Maintain control worksheets updated.
  • Coordinate and control storage costs in third parties, as well as ensure correct accuracy of the items involved in the system.
  • Plan purchase of inventory items (raw materials and supplies) on demand, through MRP analysis and sales forecast.
  • Plan and schedule operational activities.
  • Follow-up FMDS board notes.
  • Generate the picking list for the facilitator and perform shipping operations within the system.
  • To support all Retail returns processes

Performance Issues

Competence is measured as the ability of someone to do a task safely, to the highest quality, at the standard level of output.

Should an employee fail to continue to meet the standard of the grade required, this will be handled through the performance and disciplinary procedures. This would involve a discussion of any shortcomings, setting of clear objectives and appropriate review periods.

All meetings will be fully documented. Under the performance procedure, failure to improve could ultimately result in the downgrading or dismissal.
