Position Summary: Aviation Tender and Procurement. Supply strategy development and analytics/sales support. The position works closely with the VP of Supply, the Director of Supply, and the Director of Sustainability- Aviation to create and execute strategies across all aspects of supply, both in wing and bulk, operations and logistics, and risk management. Involvement in the SAF portfolio for administrative support.
Key Responsibilities:
1. Fuel Procurement and Pricing Support: Assist both VP of Supply and Director of Supply with all aviation tenders. Main focus to ensure timely documentation and accurate updates on fees and price quotes.
2. Supply Contract Management: Assist both VP of Supply and Director of Supply in day to day contact for supply contracts to support aviation tenders to ensure proper offer/bid documentation and assure proper cost and fees are maintained in the system. Related to both aviation and SAF proposals.
3. Global Sales Liaison: Present proper bid information to the TMS tender system. Work with sales to ensure quote accuracy to customer. Follow the tender through the entire process from quote, multiple round feedback, finalizing award. Focus on accuracy of fees, rate of return, into plane negotiations, pricing structure or market dynamic discussions. This is related to both Aviation and SAF proposals.
4. Assist Director of Supply after Supply awards on any supply purchase agreement (BPA) for setup and management. An understanding of Supply Agreements to manage and assist on any internal discrepancies. SAF strategic BPA proposals both internally and quoting externally.
5. Comfort with communicating internally with trading, manager of transportation, Scheduling Team, and back-office departments; billing, fee maintenance, tax and costing. Both Aviation and SAF Proposals.
6. Comfort with communicating externally with airport M&O, FBO and Port Authority, on operation issues or setup and ITP negotiations. Maintain these relationships with ITP agents and FBO and Airport GM both corporate and on the field.
7. Understanding of Customs and Duty Drawback: Assist in Coordinating contracts, manage document filings and communication with external reconciliation – Charter Brokerage.
Job Requirements: Significant data analysis required. Ability to anticipate issues, collect and synthesize data from various sources, and make corresponding recommendations. Must be able to understand and react to constantly changing market dynamics and inventory positions in order to effectively manage tender decisions and immediate fuel issue responses. Individual must develop a familiarity with the entire domestic US inventory system and react appropriately to the frequent changes in order to enhance/maintain bulk portfolio profitability. Creative action on day to day projects, reporting and other manual system improvements.
Ability to recognize opportunities within airport operations and aviation tender process. Present creative and strategic solutions to grow the aviation portfolio within the scope of the business strategy. Understand functionality of the WFS return model and process to arm sales to present the customer with best offer to maximize profit and grow the aviation portfolio.
Experience: 3+ years of related experience in the airline or petroleum industries with a demonstrable record of success and achievement in supply, distribution, and logistics. Commercial behavior, patience, and communication skills are necessary. Being detail-oriented and having time and project management skills in a fast-moving, tight-deadline environment are key characteristics. The ability to show vulnerability and ask questions.
Education: Bachelor’s Degree (BS, BA, etc.)
Specific Skills & Knowledge Required:
Geographic Scope & Travel Requirements: Moderate – Occasional travel that may be planned or done on short notice. A requirement of the job but not a significant job component. Includes international travel as necessary. The position regularly works additional hours during the week or on weekends and evenings; responsibilities of the position may require telephone contact at unusual hours. The requirement is to the extent that there is some intrusion into personal or family life.
