Job Description:
The responsibility of the Vendor Network Administrator is to manage the vendor network database by completing all vendor ads and changing requests received. The Network Administrator will also be responsible for contacting vendors to explain program guidelines and correct transactions, working with national account representatives to obtain updated location information and completing database clean-up projects as assigned. The Vendor Network Administrator must have strong experience in building and maintaining B2B relationships through telephone contact. The Administrator will also be responsible for tracking and managing all documentation involved in completing requests and projects providing cycle time results, request volume and project summaries.
KEY RESPONSIBILITIES - ESSENTIAL FUNCTIONS
- Complete all vendor updates and add requests within the department’s current cycle time standards
- Assist Disbursement Services in collecting unpaid fees from the vendors via the vendor agreement in place
- Contact vendors to collect funds
- Follow up regularly and promptly on all issues until resolution
- Update requestor and department manager on claim activity
- Maintain records and report on claim & vendor fee activity
- Provide vendor coverage information to clients and internal customers as requested and ensure prompt follow-up until completed
- Confer with the operations manager on any requests which are unclear or inconsistent with the common reporting detail and coverage of standard reporting
- Successfully communicate with external vendors for verification of contact and program information further building Wheels’ relationship with the vendors
- Proactively initiate database maintenance projects
- Work towards understanding the internal workings of Wheels’ internal departments including Dealer Relations, MAP, Collision, DSC and Disbursements
- Successfully introduce program benefits to aid potential vendors in understanding the benefits of joining the MAP Program
- Ensure service quality to all operating areas
- Answer the telephone and respond to vendor inquiries
- Meet Vendor Service Responsiveness Standards
- Provide accurate and detailed progress reporting on completed requests and projects
- Ensure all work is completed at the highest level of accuracy and professionalism
- Provide support for Warranty claims and Passport functions

EDUCATION, EXPERIENCE, and COMPETENCIES - SKILLS
- Minimum High School Diploma required
- 1-3 years relevant work experience
- Ability to organize, prioritize and manage multiple projects
- Ability to work with new project requests to define business objectives
- Ability to complete projects on a timely basis with a minimum of supervision
- Good written, verbal, and listening communication skills
- Effective problem solving and decision-making skills
- Good follow-up skills
- Intermediate experience with MS Office Outlook, Word and Excel (Pivot tables, VLOOKUPs, Fuzzy Logic)
- Strong attention to detail
- Team player
JOB SPECIFICATIONS, PHYSICAL DEMANDS and WORK ENVIRONMENT
- Work Environment: This position is in Des Plaines, Illinois (eventually Schamburg) and operates in a professional office environment.
- This is a full-time hybrid position (3 days onsite), Monday through Friday.

Pay Range:
$36,700-$51,300
The base salary range for this position is listed above. This position is eligible to participate in the annual incentive plan which is based on company performance and individual performance. Compensation ranges are based on several factors including job function, level, and geographic location. Final offer amounts are determined by multiple factors including candidate experience, education, certifications, skill level and expertise, and may vary from the amounts listed here.
