This position supports Mercy's philosophy of patient centered care by performing coordination activities related to patient check in, registration, and scheduling as well as perform tasks and support functions for the team. In addition, will be a resource to the Patient Service Coordinators and Scheduling Coordinators and will work to ensure a team environment and patient centered care.

Job Description

Job Duties

  • Places, receives and handles telephone communications with patients and their staff courteously, accurately and timely.
  • Coordinates scheduling patients.
  • Handles various duties such as mailings, data entry, preparing data for information/procedural packets.
  • Organizes and prioritizes daily work effectively.
  • Navigates the electronic medical record efficiently, orders procedures and locates documentation as necessary.
  • Promotes a positive and professional image, collaborates with health team including physicians, nurses, and discharge patients.
  • Greets patients and visitors.  Obtains insurance cards, drivers licenses, and signatures for office records that support the patient encounter.
  • Coordinates scheduling patients for all clinic locations. 
  • Resolves scheduling conflicts as identified.
  • Demonstrates an advanced understanding of the different insurance carriers (including Title 19, Medicare, and VA) and their eligibility requirements.
  • Serves as a resource to the Scheduling Coordinator team for the routine billing questions as they arise and forwards more complex questions to the Mercy billing office as appropriate.

  • Navigates the electronic medical record efficiently, locates documentation as necessary, files medical reports and miscellaneous correspondence via the RightFax and scanners.
  • Promotes a positive and professional image, collaborates with healthcare team members and all stakeholders.
  • Schedules, cancels, reschedules, and confirms patient office visits in an accurate manner and according to office scheduling procedures.
  • Responds to medical record request in a timely manner.
  • Functions as a resource to patients, visitors, and team members for the use of EMR integrated software platforms that promote and support the care and service of patients.
  • Documents telephone encounters in the electronic medical record to communicate information to physicians and staff.
  • Maintains providers and diagnostic schedules utilizing scheduling software.
  • Coordinates patient appointments with all internal and external orders.
  • Runs scheduling recall reports, sends communication to patient and schedules recalls accordingly.
  • Runs and validates month end reporting numbers.
  • Coordinates operational responsibilities and vacation coverage for the PSCs.
  • Reviews, approves, edits team members daily clockings for accuracy.
  • Assists with team performance evaluations and timecard approval.
  • Assists with the interviewing, hiring, and orientation of new team members.
  • Sends via fax or email, all necessary documentation to other providers or clinics.
  • Updates patient insurance information and completes patients estimates as needed.
  • Cross covers front office and phone scheduling positions as deemed necessary.
  • Implements changes and assists with revisions to patient scheduling and requests.
  • Reviews and updates providers and diagnostic testing schedules daily.
  • Responds to real/potential problems based on urgency related to provider/testing schedules.
  • Refers conflicts and procedural questions to the Director.
  • Follows Mercy's safety guidelines, carries out job-specific safety duties and responsibilities, and promptly reports any unsafe conditions, situations, incidents and injuries.

Professional Experience

  • Two years health care/clinical, customer service and/or secretarial experience required.
  • Strong computer skills required.

Education

  • High School Diploma required.
  • Medical Assisting Diploma, or Associate of Applied Science Degree preferred.
  • Medical Terminology strongly preferred.

Licensure, Certification, Registration

  • Cardiology Clinic - American Heart Association Basic Cardiac Life Support (BCLS) required within 6 months of hire.

Physical Requirements

Heavy: Exert 50-100 lbs. of force occasionally and/or 25-50 lbs. of force frequently.
