General Job Summary:

Under the supervision of the Manager of Procurement Services, or appropriate designee, the Supervisor of Procurement Services, guides the donation services technician team towards accomplishing Infinite Legacy’s mission and goals by providing daily oversight of the, perfusion, organ back table, research recovery operations and related organ activities. Serves as the clinical expert for training and perfusion for the organization. 

This position requires working a schedule based on business and shift needs. Will require working a minimum of four clinical shifts a month. May require weekends, holidays, or overnight hours. 

Education and Experience:

  1. Bachelor’s degree from accredited college or university in the field of biology, allied health, or communications preferred.
  2. EMT or paramedic certification OR some college instruction in a health care related field preferred.
  3. Experience Organ Recovery, with demonstrated proficiency; two years’ experience preferred.

Required Skills/Abilities: 

  1. Ability to function as a leader within the department and demonstrated ability to consistently uphold and exemplify IL core values.
  2. Demonstrated flexibility with scheduling, allocating time between administrative shifts and call coverage, as needed. 
  3. Demonstrated excellent problem-solving and critical thinking skills, well-developed personal stress management skills, responsiveness and attention to detail.
  4. Ability to travel throughout Infinite Legacy’s Donor Services Area.
  5. Ability to function independently or collaboratively with key stakeholders during times of crisis or high stress with demonstrated problem-solving skills.
  6. Excellent written, verbal, organizational and time management skills. Ability to use a computer for data entry and retrieval of information.
  7. Ability to utilize proper body mechanics to independently lift objects weighing more than 50 pounds.  

Supervisory Responsibilities:

  1. At the request of Human Resources, participates in the screening and hiring process of new employees.
  2. In conjunction with the manager, is responsible for maintaining and updating the departmental performance management board and reporting these departmental projects/goals on a routine schedule as defined by organizational leadership.
  3. Assists the manager with verifying payroll for approval on a bi-weekly basis according to the departmental protocol, as needed. 
  4. Assists the manager with approving paid time-off (PTO) and expense reports. 
  5. Assists the manager with weekly departmental updates
  6. Assists the manager with departmental callouts and helps determine daily coverage needs 

Duties/Responsibilities:

  1. Ensures the Procurement Specialist shifts are adequately staffed and run appropriately. Assists with activity and other needs on high volume shifts or during staffing challenges or training opportunities. 
  2. Partners with Procurement Services Manager to help facilitate and manage the schedule, PTO requests and ensure timely completion of the schedule.  
  3. Performs review of cases to ensure team is meeting or exceeding case management, documentation and customer service expectations.  
  4. Assists with training new staff, participates in talent and share days, and the orientation planning process.  
  5. Assists with data collection for UNOS-required documentation, research projects and any organizational projects, as requested. 
  6. Serves as the subject matter expert for organ preservation, OR navigation and supplies. 
  7. Coordinates and oversees the required follow-up documentation procedures on all donor records.  
  8. Implements audits, assists with chart quality assurance (QA), review and follow up for non-conformances. Ensures initial QA of all donor charts by Procurement Specialists. 
  9. Acts as a coach, mentor and role model for all Procurement Specialists and IL employees. Participates in performance planning, employee development, training, simulations, and evaluation. 
  10. Serves as a resource to staff for both clinical knowledge and logistic problem solving often in real time.  
  11. In collaboration with the manager and the Education Department, serves as a faculty member for Donation University and a subject matter expert for creation/updating of e-modules and training. 
  12. At the discretion of department leadership, may have flexible schedule to attend trainings, meetings and planning departmental education. 
  13. Responsible for coordinating Procurement Specialist representation at all organizational training and meetings. Responsible for communicating information learned in these meetings and training sessions to the remaining organ placement staff. 
  14. At the discretion of department leadership, may assist with external client support and education; cultivate relationships with transplant center and immunogenetics staff.  
  15. Works with departmental leadership to provide feedback and follow up to Procurement Specialist team members.  
  16. Demonstrates a focus on solution-based leadership by identifying, resolving, and implementing positive changes in Procurement Specialist. Proactively identifies new technologies to enhance customer service. 
  17. Serve as on-call supervisor for department staffing to ensure adequate staffing on each shift. 
  18. All other duties as assigned.
