About the Role
This role keeps FACS's projects running smoothly behind the scenes. You'll manage day-to-day project coordination—from opening new projects and maintaining accurate documentation to supporting budgeting, invoicing, and scheduling—while also leading a team of Project Coordinators. You'll balance workloads, provide hands-on guidance, and help onboard new staff, all while serving as a go-to resource for scheduling, client communication, and internal process questions. Working closely with Project Managers, technical staff, and the Finance team, you'll help ensure projects move forward accurately and on time, and step in as a client contact when needed.
This is a hybrid position.
Responsibilities
- Save signed proposals for projects in internal folders and the ERP system
- Ensure budgetary details are entered into Project Planning in the ERP system
- Follow the procedure for opening new opportunities/projects, including all pertinent project/client information
- Verify that transactions on WIP are entered in accordance with the contract
- Follow the procedure for WIP Review in preparation to invoice projects
- Save all project-related documentation into electronic project file
- Assist with scheduling projects, including maintaining knowledge of staff capabilities and availability
- Maintain awareness of Project Managers' service-line certifications and capabilities
- Attend local office Project Manager/Staff meetings
- Enter purchase orders for outside vendors (e.g. equipment rental, media, outside labs)
Supervisory Duties
- Manage the team of Project Coordinators including helping balance workloads and providing day-to-day support and guidance.
- Assist with training and onboarding new staff on internal processes, project setup, scheduling procedures, invoicing workflows, and company systems.
- Monitor workflows and assist with making sure projects, invoicing, scheduling, and client requests are being handled accurately and in a timely manner.
- Serve as a resource for staff questions related to project coordination, scheduling, client communication, and internal procedures.
- Assist with staffing coordination and scheduling based on project needs, staff availability, certifications, and workload.
- Help identify operational or staffing concerns and communicate them to management as needed.
- Work closely with Project Managers, technical staff, accounting, and administrative teams to support overall office operations and project success.
- Promote a professional, responsive, and team-oriented work environment while maintaining a high level of client service and internal support.
As Appropriate / As Needed
- Conflict checks (typically only for litigated projects)
- Request certificates of insurance as needed
- Back up as client contact when Project Managers are not available
- Collaborate and assist Finance team on collections or invoicing issues
Experience & Education
- Minimum 5 years of experience in a similar role, including at least 3 years managing staff
- AA degree minimum
Skills & Requirements
- Effective, professional, and clear communication skills, both written and oral
- Proficient with Microsoft Office and Google Suite; able to learn new software quickly
Physical & Work Requirements
- Ability to lift up to 30 pounds.
- Prolonged periods of sitting at a desk and working on a computer for documentation and reporting
- Valid driver’s license, reliable transportation, and current auto insurance
