Job Description:
Our escrow team is on the lookout for a bright and enthusiastic Administrative Superstar to bring some sunshine to our operations. This isn't your average desk job. You'll be the friendly voice on the phone, the welcoming face to visitors, and the wizard behind the scenes keeping everything running smoothly. Think of yourself as the ultimate support system, helping our team and clients navigate the world of escrow with a smile.
As an Escrow Intern, you will play a vital support role in day-to-day operations—contributing to a seamless customer experience, assisting with administrative tasks, and participating in special projects that impact the team's success.
Key Responsibilities:
Customer & Visitor Support
- Professionally answer incoming phone calls and direct them to the appropriate personnel.
- Greet clients and visitors in a friendly and professional manner, offering refreshments and ensuring a welcoming atmosphere.
- Notify team members promptly upon client arrivals and courier deliveries.
Administrative Duties
- Prepare and distribute correspondence such as emails, memos, and letters with attention to clarity and accuracy.
- Assist with scheduling, including the coordination and communication of closing appointments.
- Maintain a clean and organized reception and conference area.
Operations & Logistics
- Receive and distribute daily mail and packages.
- Coordinate contract pickups and support marketing representatives as needed.
- Monitor office supplies such as beverages and snacks, and place orders when required.
Project Support
- Assist with marketing and office projects, including mail-outs and event preparation.
- Support various administrative functions using company systems, including RamQuest, with training provided.
Essential Requirements:
- Strong verbal and written communication skills.
- Courteous, dependable, and professional demeanor.
- Excellent organizational skills with the ability to multitask and prioritize effectively.
- High level of attention to detail and reliability.
- Comfortable interacting with clients and colleagues in person, by phone, and by email.
- A collaborative and proactive mindset, with a willingness to learn and contribute.
- Proficiency in Microsoft Outlook and Word.
- Ability to work a consistent schedule: Monday–Friday, 8:00 a.m. to 5:00 p.m.
- Prior experience in customer service, clerical work, or administrative support is a plus.
