Description

The Strategic Procurement Specialist is a cross-functional role responsible for managing the end-to-end lifecycle of purchasing administration, vendor management, and internal operational alignment. This position sits at the intersection of supply chain, IT, and customer operations, ensuring that systems run smoothly, data remains immaculate, and new relationships (both vendors and customers) are seamlessly established.

Key Responsibilities

  • Manage daily purchasing workflows, including purchase order (PO) creation, tracking, approval routing, and reconciliation.
  • Serve as the primary custodian for business system data, ensuring accuracy in ERP, CRM, or procurement software.
  • Audit and maintain master data records to prevent discrepancies in pricing, inventory, or order fulfillment.
  • Manage the end-to-end setup for new suppliers, including compliance checks, tax documentation (W-9/W-8), payment terms, and contract repositories.
  • Facilitate new customer account setup, coordinate credit checks, align billing profiles, and establish master accounts in internal systems.
  • Maintain and update existing vendor and customer records to reflect changes in contact info, banking details, or compliance status.
  • Act as the operational bridge between People Experience, hiring managers, and the IT department.
  • Coordinate system access, hardware provisioning (laptops, phones), and software licensing for incoming personnel or external contractors.
  • Manage ongoing software/system access requests and modifications for existing staff to ensure role-appropriate security compliance.
  • Standardize, document, and maintain Standard Operating Procedures (SOPs) for procurement and onboarding workflows.
  • Identify operational bottlenecks, data inaccuracies, or inefficiencies, and implement continuous improvement initiatives.
  • Train internal staff on procurement policies and system navigation.
  • Collaborate with Finance/Accounting to resolve three-way matching discrepancies (PO, receipt, and invoice).
  • Provide ad-hoc support to various departments to resolve operational roadblocks that impact the supply chain or customer experience.

Requirements

Qualifications & Skills

  • 3–5 years of experience in procurement, supply chain coordination, operations, or a highly administrative master data role.
  • Proficiency with ERP/CRM software (e.g., NetSuite, SAP, Salesforce) and modern procurement/ticketing platforms (e.g., Coupa, Jira, ServiceNow).
  • Comfort acting as a liaison with IT; basic understanding of user access control, software provisioning, and hardware requests.

Skills Required
