Position Summary

The Strategic Initiatives & Executive Support Manager serves as a strategic extension of the Chief Executive Officer, providing high-level executive support, coordinating organizational priorities, driving follow-through and accountability, and managing high-priority initiatives across Excelsior Ambulance Service, Inc.

In addition to directly supporting the CEO, this position manages and executes special projects assigned by multiple members of the Executive Leadership Team. The successful candidate will be highly organized, entrepreneurial, proactive, discreet, resourceful, and comfortable operating with a high degree of independence in a fast-paced, growth-oriented, multi-state ambulance organization.

Essential Duties & Responsibilities

Executive Support to the CEO
  • Serve as a trusted partner and strategic extension of the CEO, anticipating needs and helping translate priorities into action.
  • Manage and prioritize the CEO’s calendar, meetings, appointments, commitments, and competing priorities.
  • Prepare sales presentations, proposals, marketing materials, executive briefings, reports, correspondence, and other business materials.
  • Coordinate executive meetings, leadership meetings, off-sites, strategic planning sessions, and other high-priority engagements.
  • Track action items, decisions, commitments, and deadlines resulting from CEO and executive meetings; follow up with responsible leaders to ensure timely completion.
  • Assist with confidential and sensitive personnel, financial, strategic, operational, and business matters requiring a high degree of discretion.
  • Serve as a communication bridge between the CEO and internal and external stakeholders.
  • Help maintain executive visibility into key organizational priorities, deadlines, risks, and initiatives.
Executive Leadership Special Projects
  • Manage and execute special projects assigned by the CEO and other members of the Executive Leadership Team, from initial planning through completion.
  • Maintain, track, and coordinate business licenses, ambulance service licenses, permits, renewals, and related organizational requirements across applicable jurisdictions.
  • Assess, develop, and improve ambulance supply programs, including local assessment and execution of bin programs, standardization of inventory practices, and use of Operative IQ or similar systems.
  • Evaluate and refine supply-chain sources, vendor options, and purchasing practices to identify cost-effective alternatives while supporting operational readiness.
  • Assist with completion and coordination of COPCN applications, hospital proposals, business-development submissions, and other high-priority strategic projects.
  • Assist with existing and future facilities management, including standardized furnishing templates, vendor negotiations, and standardized facility and crew-base supply lists.
  • Prepare executive-level presentations, reports, dashboards, project plans, and status updates for executive sponsors.
  • Maintain project trackers, identify dependencies and risks, and provide regular updates to ensure initiatives remain aligned with organizational objectives and deadlines.
  • Support hospital business development efforts, healthcare partner relationships, and related strategic initiatives.
Executive Communications & Coordination
  • Facilitate effective communication and coordination between executive leadership, department leaders, and operational teams.
  • Prepare meeting agendas, minutes, action-item lists, follow-up communications, and decision summaries as needed.
  • Maintain a high level of professionalism when interacting with executives, physicians, healthcare partners, vendors, community leaders, employees, and other stakeholders.
  • Help ensure important information, requests, and decisions reach the appropriate executive or department in a timely manner.
  • Maintain strict confidentiality regarding personnel, financial, strategic, operational, patient-related, and other sensitive information.
Strategic & Operational Support
  • Assist executive leadership with strategic initiatives, growth projects, acquisitions, integration activities, operational improvements, and organizational initiatives.
  • Support preparation for leadership presentations, strategic planning activities, business reviews, and executive decision-making.
  • Gather, organize, analyze, and present financial, operational, quality, customer, and performance information as requested.
  • Help develop and maintain executive dashboards, performance reports, project scorecards, and other management tools.
  • Participate in process-improvement initiatives and identify opportunities to improve efficiency, standardization, cost effectiveness, and organizational execution.
  • Perform other strategic, administrative, and operational assignments as directed by the CEO or Executive Leadership Team.
QualificationsRequired
  • Associate degree preferred; EMT certification, ambulance/EMS experience, or an equivalent combination of education and relevant experience will be considered.
  • Prior experience in logistics, supply chain, dispatch/communications, project management, operations, or related functions within the ambulance, EMS, healthcare, public safety, or similarly complex service environment strongly preferred.
  • Experience supporting senior executives, managing cross-functional projects, or coordinating business-development initiatives is preferred.
  • Exceptional organizational, prioritization, and time-management skills with the ability to manage multiple concurrent priorities and deadlines.
  • Strong written and verbal communication skills, including the ability to prepare polished executive correspondence, presentations, proposals, and reports.
  • Strong proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook; ability to learn and effectively use company technology platforms and project-management tools.
  • Demonstrated ability to handle confidential and sensitive information with discretion, sound judgment, and professionalism.
  • Strong attention to detail while maintaining focus on broader organizational objectives and desired outcomes.
  • Ability to work independently with limited supervision, exercise initiative, and appropriately escalate issues requiring executive attention.
  • Demonstrated problem-solving, resourcefulness, accountability, and follow-through.
  • Ability to build productive working relationships across executive, operational, clinical, administrative, and external stakeholder groups.

Work Environment & Travel

This position operates in a fast-paced, highly collaborative environment and may require work across office, ambulance operations, healthcare partner, and field locations. Occasional travel may be required to support facilities, operational locations, healthcare partners, projects, meetings, and organizational initiatives. The position may occasionally require flexibility outside normal business hours based on executive and operational needs.
