Strategic Executive Assistant for Marketing and Sales Program Execution
OneIMS Group is seeking a highly organized and proactive Strategic Executive Assistant to support our Marketing and Sales Program Execution team. This role is integral to the success of our marketing and sales strategies, providing essential administrative support while also contributing to project management and operational efficiency. The ideal candidate will have exceptional communication skills, the ability to manage multiple priorities, and a keen understanding of marketing and sales processes.
Key Responsibilities:- Provide executive-level support to senior marketing and sales leaders, including schedule management, travel coordination, and meeting preparation.
- Assist in the execution of marketing and sales programs by coordinating projects, tracking timelines, and ensuring adherence to deadlines.
- Conduct research and compile data to support strategic decision-making within the marketing and sales teams.
- Prepare presentations, reports, and other materials for internal and external communication.
- Facilitate effective communication among team members and stakeholders, ensuring alignment on project objectives and deliverables.
- Manage project documentation, including maintaining project plans and records of meetings and decisions made.
- Coordinate logistics for marketing events, webinars, and client meetings, ensuring smooth execution from planning to follow-up.
- Develop and implement administrative processes to enhance productivity and efficiency within the marketing and sales teams.
- Continuously evaluate and recommend improvements in workflows and practices to optimize operations.
- Act as a liaison between the marketing and sales teams, fostering collaboration and communication across departments.
RequirementsQualifications:
- Bachelor's degree in business administration, marketing, or a related field.
- 3+ years of experience in an executive administrative role, preferably within a marketing or sales environment.
- Strong project management skills, with the ability to juggle multiple priorities and manage timelines effectively.
- Excellent written and verbal communication skills, with a strong attention to detail.
- Proficiency in productivity and project management tools (e.g., Microsoft Office Suite, Google Workspace, Trello, Asana).
- Strong organizational skills, with the ability to work independently and as part of a team.
- Ability to conduct research and synthesize information into actionable insights and reports.
- Experience with CRM systems and marketing automation tools is a plus.
- Customer-focused mindset with strong interpersonal skills; experience in client-facing roles is advantageous.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Familiarity with digital marketing concepts and best practices.
- Experience coordinating events or marketing campaigns.
- Knowledge of data analytics in a marketing context.
