The Role

The Strategic Events Specialist is a key member of the Global Strategic Events team, responsible for supporting the planning and execution of MongoDB's strategic events with a primary focus on programs in the AMER region, while partnering to support global priority programs as needed. This role works closely with program leads and teams across MongoDB to deliver consistent, high-quality execution across assigned work streams. The ideal candidate is highly organized, detail-oriented, and reliable — someone who takes pride in tight execution and is building toward broader program ownership over time.

Who You Are

You care about the customer experience, not just the task list. You understand that the details you're responsible for are what customers actually feel. You take that seriously, follow through on what you commit to, and are relentless about delivering on time and to a high standard.

You're honest about what's working and what isn't. When something is at risk, you flag it early with context rather than hoping it resolves itself. You work within processes, recognize when a process needs to change, and say so directly. You apply good judgment within established guidelines and escalate cleanly when something is outside your lane.

You take ownership of your work. You don't wait to be told what needs attention. You demand a lot from yourself, balance getting things done independently with knowing when to pull others in.

Responsibilities Program Coordination and Execution
  • Support the planning and execution of assigned events by executing specific work streams within each program
  • Deliver consistently within established frameworks and quality standards across all assigned programs
  • Handle logistics coordination, such as:
    • Registration setup, attendee management, and on-site check-in
    • Vendor communication, contract administration support, and shipping coordination
    • Signage, materials preparation, and branding logistics
    • On-site operational support and event day execution
  • Apply existing SOPs and past practice to drive consistent, reliable outputs across concurrent programs; escalate non-standard issues or cross-team dependencies to program leads with a recommended path forward
  • Support global programs as assigned, collaborating with regional and global team members
Cross-functional Coordination
  • Coordinate with field and strategic marketing, revenue marketing, developer relations, product marketing, and other teams to maintain alignment on assigned work streams
  • Keep internal stakeholders informed with timely updates on assigned events, and flag risks early with relevant context
  • Coordinate with global team members to support smooth execution across regions and time zones
Operational and Administrative Support
  • Maintain accurate event data, documentation, and asset libraries.
  • Assist with budget tracking, invoice processing, and contract administration for assigned programs.
  • Work with the Strategic Event Operations team to support campaign execution, lead flow management, and sponsorship fulfillment.
Continuous Improvement
  • Complete post-event reporting and metric tracking for assigned programs
  • Identify improvements within your areas and share learnings with the broader team
  • Suggest process and SOP refinements based on patterns observed across your programs
Success Measures
  • Consistent, timely, and accurate execution of assigned event work streams
  • Positive feedback from internal stakeholders and event attendees
  • Effective coordination across multiple stakeholders and concurrent timelines
  • Quality and reliability of post-event reporting and documentation
  • Embodiment of MongoDB's Core Values
Qualifications
  • 3+ years of experience in event coordination, event marketing, or a related role
  • Proven ability to execute events within established frameworks, with strong attention to detail and follow-through
  • Strong organizational and project coordination skills; proven ability to manage multiple deadlines simultaneously
  • Clear communicator, written and verbal, who keeps stakeholders informed and escalates issues with context and a recommended path forward
  • Self-motivated and comfortable working independently while collaborating as part of a global team
  • Proficiency with Google Workspace, Slack, Zoom, and event platforms (Cvent preferred)
  • Willingness to travel approximately 20%
Bonus Points
  • Experience working in technology or SaaS environments
  • Familiarity with Salesforce, Splash, Jifflenow, or similar event tools
  • Exposure to marketing automation platforms
