SUMMARY:   The Special Events Sales Coordinator is responsible for selling and managing the details of special events. This role serves as the main point of contact for clients, manages event logistics, and supports the sales team to ensure successful events that contribute to the company's financial goals. The coordinator ensures excellent customer service through timely and accurate delivery of services, including rental orders, and resolves customer issues as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Operations:

  • Utilize company systems to track, document, and follow up on all event-related activities.
  • Coordinate logistics and marketing for trade shows, customer appreciation events, and public relations initiatives.
  • Conduct client tours, generate sales leads, create proposals, draft contracts, and present event budgets.
  • Upsell services and amenities to maximize event revenue.
  • Pursue new business opportunities to grow accounts and increase revenue.
  • Manage customer quotes and orders, resolve issues, and maintain professional communication.
  • Gather and organize data from upcoming events to support strategic planning.
  • Oversee timely delivery and installation of services or equipment.
  • Assist in developing marketing materials such as videos, flyers, and web content.
  • Follow up with existing customers to ensure expectations are met.
  • Travel to customer locations and job sites as needed.
  • Perform administrative tasks including accounts receivable.
  • Be available during event-heavy periods, especially weekends.

  • Represent PAR and STAR positively through professional conduct, including adhering to company standards for appearance and behavior. Promote a culture of excellence and teamwork.
  • Stay organized, independent, and self-motivated, with the ability to prioritize tasks effectively and meet deadlines. Flexible in scheduling and adaptable to changing priorities.
  • Demonstrate proficiency in written and verbal communication, with attention to accurate grammar and business correspondence. Proactively engage in training opportunities to expand skills and knowledge.
  • Foster positive working relationships with peers, management, and support staff. Committed to outstanding customer service and a professional working environment.
  • Maintain a clean, organized workspace and present a professional appearance. Be punctual and prepared for work, including after breaks and meal periods.
  • Maintain a valid driver's license and good driving record if required, and ensure eligibility for company insurance.
Qualifications

Education and/or Experience: 

  • 2-3 years of special event experience.
  • Highly organized and detail-oriented.
  • Exceptional customer service skills.
  • Understanding of operational aspects of the business (training provided).
  • Willingness to assist with servicing portable toilets.
  • Proficiency in Microsoft Office Suite and social media.
  • Strong time management and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Bachelor’s degree in Marketing or Communications is a plus but not required.
