Our skilled nursing facility is seeking a highly organized, dependable, and detail-oriented Staffing & Scheduling Coordinator to join our team. This position plays a vital role in ensuring quality resident care by maintaining adequate staffing coverage for our 24/7 healthcare environment. The ideal candidate thrives in a fast-paced setting, has exceptional communication skills, and enjoys problem-solving while working collaboratively with nursing leadership and other departments.

Position Summary

The Staffing & Scheduling Coordinator is responsible for creating, maintaining, and adjusting staff schedules to ensure appropriate staffing levels while remaining compliant with facility policies, labor regulations, and budget expectations. This individual works closely with department managers, nursing leadership, and employees to fill open shifts, coordinate time-off requests, monitor attendance, and support daily staffing operations.

Essential Responsibilities
  • Develop, maintain, and publish employee schedules for nursing and other assigned departments.
  • Ensure adequate staffing coverage for all shifts while maintaining compliance with staffing guidelines.
  • Coordinate replacements for call-ins, vacancies, PTO requests, leaves of absence, and other staffing changes.
  • Communicate scheduling updates promptly with employees and department leaders.
  • Maintain daily staffing sheets and staffing records.
  • Monitor attendance, tardiness, overtime, and agency utilization.
  • Assist managers with staffing forecasts and recruitment needs.
  • Maintain employee availability, shift preferences, and scheduling restrictions.
  • Ensure schedules comply with applicable labor laws, union agreements (if applicable), and facility policies.
  • Collaborate with Human Resources regarding new hires, transfers, orientation schedules, and employee status changes.
  • Assist with payroll preparation by reviewing timecards, missed punches, and scheduling discrepancies.
  • Respond professionally to staffing emergencies during business hours and assist with after-hours planning as needed.
  • Maintain confidentiality of employee and resident information.
  • Perform other administrative duties as assigned.
Qualifications
  • High school diploma or GED required; Associate's degree preferred.
  • Previous staffing, scheduling, healthcare, or administrative experience preferred.
  • Experience in a skilled nursing facility, assisted living, hospital, or healthcare setting strongly preferred.
  • Knowledge of staffing practices, payroll systems, and scheduling software preferred.
  • Proficiency with Microsoft Office, including Excel, Word, and Outlook.
  • Strong organizational, multitasking, and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently while managing multiple priorities.
  • Strong attention to detail and problem-solving abilities.
  • Ability to maintain confidentiality and professionalism.
Preferred Skills
  • Experience with electronic scheduling systems.
  • Knowledge of staffing regulations within long-term care.
  • Ability to remain calm and organized in high-pressure situations.
  • Customer-service focused with a positive attitude.
  • Ability to build strong working relationships with staff and leadership.
