Job Purpose

As a Staff Workplace Specialist, you will lead the execution, vendor management, and physical workspace standards across VulcanForms’ office and manufacturing-adjacent facilities. In this role, you will oversee office buildouts, direct complex vendor programs, drive daily multi-site operations, and partner cross-functionally with IT, EHS, and People Operations to ensure our work environments are reliable, functional, and ready to scale as the company expands.

Key Responsibilities
  • Lead Workplace Infrastructure & Site Readiness: Drive office buildouts, site expansions, and space reconfigurations across locations; oversee desk layouts, conference room acoustics, furniture procurement, and IT/electrical coordination to deliver fully operational workspaces.
  • Direct Vendor & Contract Operations: Manage vendor relationships, performance tracking, and service-level enforcement for facilities, janitorial, maintenance, and office services; oversee procurement workflows, invoice approvals, and vendor contract reviews.
  • Oversee Multi-Site Operating Standards: Establish and maintain workplace operating protocols, space planning guidelines, and daily site readiness across corporate offices and non-production manufacturing spaces (meeting rooms, break areas, and common spaces).
  • Cross-Functional Project Execution: Partner closely with People Operations, IT, Finance, and EHS to streamline employee onboarding setups, ensure workplace safety compliance, and align facilities initiatives with broader business goals.
  • Budget & Program Optimization: Monitor and track workplace budgets and forecasting; balance speed, quality, and cost efficiency across vendor contracts, site moves, and facility maintenance projects.
Qualifications
  • 8+ years of hands-on workplace services, facilities management, or office operations experience supporting multi-site environments.
  • Bachelor’s degree in Business Administration, Facilities Management, Operations, or related field; equivalent practical experience in high-growth operational environments will also be considered.
  • Advanced expertise in facilities vendor management, office buildout execution, space planning, and building infrastructure standards.
  • Proven track record as a senior individual contributor who can independently drive complex projects, manage competing priorities, and maintain high standards across multiple locations.
Preferred Qualifications
  • Direct experience supporting workplace services in blended office and advanced manufacturing/industrial settings.
  • Demonstrated experience coordinating new site openings, facility buildouts, or major footprint expansions.
  • Strong working knowledge of EHS protocols, basic building management systems (HVAC, power, network access), and vendor contract negotiations.

VulcanForms offers a competitive salary and equity package. Actual compensation is based on factors such as the candidate's skills, qualifications, and experience. In addition, VulcanForms provides comprehensive benefits including medical, dental, vision, and life insurance; generous paid time off; and a 401(k) plan with company match. 

The annual base salary range for this position is $106,755 to $146,788.
