SUMMARY:

Under the direction of the Controller, the Staff Accountant is responsible for supporting the organization’s financial operations through general accounting, financial reporting, account reconciliation, and payroll administration. This position ensures the accuracy and integrity of financial and payroll data while maintaining compliance with GAAP, internal controls, and applicable federal and state regulations. The ideal candidate demonstrates strong analytical skills, attention to detail, confidentiality, and the ability to manage multiple priorities in a deadline-driven environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Finance:

  • Prepare and record financial transactions related to assets, liabilities, revenue, and expenses in accordance with generally accepted accounting principles (GAAP).
  • Prepare month-end journal entries, bank reconciliations, sales tax filings, and annual 1099 reporting.
  • Assist with monthly and year-end close processes.
  • Maintain account reconciliation schedules to support general ledger balances.
  • Analyze account activity, identify discrepancies, and recommend process improvements to enhance operational efficiency and financial controls.
  • Prepare supporting schedules and documentation for audits and financial reporting.
  • Assist in the preparation of financial statements, including balance sheets, income statements, and other management reports.
  • Support internal and external financial and regulatory audits.
  • Maintain strict confidentiality regarding organizational, financial, employee, and client information.
  • Participate in special projects and other duties as assigned.

Payroll:

  • Process bi-weekly payroll through Paycom, including review of employee timecards, PTO balances, benefit deductions, and personnel changes.
  • Audit payroll for accuracy and ensure timely payroll submission in compliance with company deadlines and regulatory requirements.
  • Maintain payroll records and ensure proper processing of tax withholdings, benefit deductions, garnishments, 401(k) contributions, and workers’ compensation allocations.
  • Record payroll journal entries and reconcile payroll-related accounts within the accounting system.
  • Ensure payroll data integrity through accurate processing, reconciliation, and adherence to company policies, internal controls, and applicable laws and regulations.
  • Handle confidential employee payroll and financial information with a high degree of discretion and professionalism.
Qualifications

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE:  Bachelor’s degree in Accounting, Finance, Business Administration, or related field required. Minimum of five (5) of progressively responsible accounting and payroll experience required. Experience with nonprofit accounting, Financial Edge (Blackbaud), and Paycom preferred.

OTHER SKILLS AND ABILITIES: Proficiency in various types of computer hardware and software; spreadsheets, word processing, databases, and flow-charting. Strong organizational and written and verbal communication skills.  Thorough knowledge of generally accepted accounting principles (GAAP) and IRS non-profit reporting requirements (Forms 990, 1099, among others).
