Position Summary:
Reporting to the Accounting Manager, the Staff Accountant supports core accounting functions, including payroll processing, time and attendance tracking for hourly employees, accounts payable processing including expense reimbursements and credit card charges. This role is also responsible for journal entries, general ledger reconciliations, and supporting compliance processes for assigned areas and special projects. The Staff Accountant plays a key role in ensuring timely and accurate payroll and timekeeping data while supporting broader accounting operations with regard to expense management.
Accounts Payable
- Process vendor invoices accurately and timely in the RAMP vendor system
- Review invoices, card transactions, and reimbursements for appropriate approvals, coding, and supporting documentation in accordance with corporate policies
- Maintain vendor records and respond to vendor inquiries
- Reconcile vendor statements and resolve discrepancies
- Assist with tracking and recording prepaid expenses
- Serve as a liaison for internal employee inquiries related to billing and payment status, accounting policies, and other follow-ups
Payroll Processing
- Assist with processing payroll in coordination with the payroll provider, Paylocity
- Review payroll reports for accuracy including earnings, deductions, and taxes
- Maintain payroll records and employee payroll changes
- Assist with payroll reconciliations and related journal entries
- Support compliance with federal, state, and local payroll requirements
General Ledger & Reconciliations
- Manage cash accounts, including reconciling cash daily
- Prepare monthly balance sheet reconciliations for assigned accounts
- Assist with preparation of journal entries and supporting schedules
- Support the month-end and year-end close processes
- Investigate and resolve discrepancies in financial records
- Maintain organized documentation to support internal and external audit requests
Additional Responsibilities
- Assist with improving accounting processes and internal controls
- Support ad hoc financial analysis and reporting as needed
- Collaborate with cross-functional teams to ensure strong communication
Qualifications
Education
- Bachelor's degree in accounting
Experience
- 2–3 years of accounting experience
- Experience with Accounts Payable (required) and Payroll Processing (preferred)
Skills & Competencies
- Strong organization skills with demonstrated attention to detail
- Proficiency in Microsoft Office Suite
- Experience with accounting systems, RAMP, Paylocity, FloQast and NetSuite preferred
- Ability to manage multiple deadlines in a fast-paced environment
- Strong communication and problem-solving skills
- Maintain a continuous improvement mindset, consistently seeking ways to optimize processes and team performance
