Description

We are seeking a highly organized, detail-oriented, and discreet Staff Accountant to support financial operations of the family office. This role is central to the seamless management of the Owner’s personal financial operations.

The ideal candidate thrives in a high-touch, collaborative environment, working closely with a dedicated support team—including an Executive Assistant—to ensure all financial obligations are met with precision. You will be responsible for maintaining the "ground-level" books while providing the necessary data and liaison support to a variety of internal and external partners for broader financial strategy and support in partnership with the Vice President of Finance.

Key Responsibilities

  • Manage daily accounting functions, including accounts payable/receivable, bank reconciliations, and general ledger maintenance for multiple entities and personal accounts
  • Oversee complex bill-paying processes, ensuring all personal and business obligations are settled accurately and on time
  • Track and categorize high-volume personal and travel expenses, working directly with the Executive Assistant to verify receipts and documentation
  • Monitor cash flow to ensure adequate liquidity for upcoming personal and professional capital requirements
  • Act as the primary financial point of contact for the internal office team, assisting the Executive Assistant with vendor management and household payroll.
  • Maintain a seamless workflow with internal and external partners, providing them with clean monthly data to facilitate high-level forecasting, tax planning, and investment reporting.
  • Translate complex financial data into clear, concise summaries for the Owner and internal and external teams.
  • Prepare comprehensive monthly financial "packets" for the Owner, detailing spending vs. budget and significant variances
  • Organize and streamline all financial records to ensure a smooth year-end tax preparation process with external firms and consultants
  • Assist in the oversight of insurance policies, property taxes, and other regulatory filings

Requirements

  • Minimum of 3+ years of professional accounting experience.
  • Proven experience working within a Family Office or accounting firm specifically managing the affairs of High-Net-Worth Individuals (preferred)
  • Advanced proficiency in Excel. Experience with bill-pay platforms and expense management software is highly preferred.
  • Bachelor’s degree in Accounting, Finance, or a related field.
  • Unwavering Discretion: You will be handling highly sensitive and private information; an ironclad commitment to confidentiality is a non-negotiable requirement
  • Proactive Problem Solving: You don't just identify a discrepancy; you investigate it and present the solution before being asked
  • Adaptability: The needs of a Family Office can change rapidly. You must be comfortable pivoting between granular bookkeeping and collaborative team projects
  • Exceptional Communication: The ability to explain financial nuances to non-financial team members clearly and professionally
  • Meticulous Attention to Detail: In the world of high-level finance, "close enough" is never enough
