Essential duties and responsibilities 

This Staff Accountant is responsible for the company's accounts receivable and fleet billing operations, cash and credit card reconciliation, core banking processes, and month-end close activities. This role requires strong organizational skills, advanced Excel proficiency, and the ability to adapt quickly in a fast-paced, high-volume environment. The Staff Accountant will play a key role in the upcoming point-of-sale (POS) system upgrade, as the transition will directly affect several of this role's core processes.

Accounts Receivable & Fleet Billing
  • Manage all accounts receivable accounting, including invoicing, application of payments, and account maintenance

  • Process and manage billing for fleet accounts

  • Perform payment reconciliation across AR accounts

  • Prepare and distribute customer statements

  • Manage collections activity, including following up on past-due accounts and resolving billing disputes

Cash & Banking
  • Perform daily/weekly cash reconciliation across all store locations

  • Perform credit card reconciliation and research discrepancies

  • Manage banking processes including Positive Pay and ACH filters

  • Ordering of banking supplies for new and existing sites

  • Set up banking for new site locations

Month-End Close
  • Prepare and post journal entries as part of the month-end close process

  • Complete account reconciliations for assigned balance sheet accounts

  • Support timely and accurate close in coordination with the broader accounting team

POS System Upgrade
  • Serve as a key accounting team contributor during the upcoming POS system upgrade

  • Help evaluate and adjust AR, cash, and reconciliation processes to align with the new system

  • Test new workflows and identify process changes needed as a result of the upgrade

Qualifications
  • Bachelor's degree in Accounting, Finance, or related field, or equivalent professional experience

  • Prior experience in accounts receivable, billing, and/or reconciliation preferred

  • Strong proficiency in Microsoft Excel (pivot tables, lookups, and formula-driven analysis)

  • Highly organized with strong attention to detail and follow-through

  • Comfortable managing multiple priorities and deadlines in a fast-paced, high-volume environment

  • Adaptable and open to process change, particularly through system transitions

  • Strong communication skills, including comfort with collection-related conversations

  • Experience with Sage Intacct or similar accounting software a plus
