PaceMate® Staff Accountant with Payroll Experience (full-time, 100% remote job)

JOB SUMMARY
The PaceMate Staff Accountant with Payroll Experience position is a full-time position. This professional will be responsible for planning and processing all payroll functions, to maintain high standards of quality in accordance with Company policies and procedures, and federal and state regulations. In addition, the Staff Accountant will be responsible for tracking and recording financial transactions in accordance with GAAP, ensuring compliance with IRS rules and regulations, reconciling general ledger accounts while maintaining accuracy and detail for all transactions.

ESSENTIAL FUNCTIONS
- Post journal entries and maintain general ledger accounts
- Assist with all audits
- Collaborate with employees on payroll issues in a compassionate manner and provide timely resolutions
- Processing the bi-weekly payroll accurately and timely. This includes the processing of all bonuses, commission payments, and off-cycle payment runs.
- Review employee expense reports for reasonableness, supporting documentation and compliance with company policies. This includes reaching out to employees for missing support and asking questions about expenses submitted when needed. Use system-assisted record keeping, preventing duplicate expense reimbursements and maintain a record of expense report violations.
- Assisting with preparation of payroll-related and expense report journal entries and prepare reports which include summaries of earnings, tax deductions, leave, and non-taxable wages.
- Assisting with the completion of verifications of employment that include wage verifications.
- Investigating and resolving payroll discrepancies and answering any employee payroll inquiries.
- Maintaining all payroll operations according to company policies and procedures.
- Assisting employees with their Form W-2 receipt and processing annual Form 1099s.
- Process AP functions, including maintenance and collection of required vendor documentation and accounts.
- Maintain appropriate levels of current knowledge related to accounting, payroll, and employment law. Maintain knowledge of payroll tax compliance and applicable filings.
- Evaluating the effectiveness of payroll software and supporting database as well as internal control systems.
- Maintaining basic knowledge of PaceMate products and services.
- Assisting in special projects, including assisting in the annual budget process, 401k, and SOC audits. Serve as backup for the Controller, mainly in the areas of Payroll, Accounts Payable and Concur expense reimbursements.
- Assisting in ensuring consistency in practices and PaceMate Mission, Vision, and Customer Service standards are met. Adhering to the Code of Conduct and all Company Policies and Procedures.
- Performs all other related duties as assigned.
- Assists leadership with projects as directed.
EDUCATION, TRAINING, AND EXPERIENCE REQUIREMENTS
- B.S. in Accountancy required.
- Three or more years of accounting experience.
- Three or more years of payroll experience; FLSA OT experience is a plus.
- Must possess knowledge of all accounting applications, data processing functions and internal control requirements for the accounting department.
- Must possess knowledge of and ability to operate computerized payroll accounting software, personal computer, Microsoft Excel, ten-key calculator, and phone.
- Must possess written and oral communication skills.
- Thorough understanding of supporting a remote or virtual workforce, with multistate experience preferred.
- Ability to keep information confidential.
- Ability to work independently in a time-sensitive environment required.
- Accurate data entry skills with great attention to detail.
- Experience with Teams, Slack, DocuSign, Adobe Pro, ADP, Concur, and NetSuite a strong plus.
LICENSURE/CERTIFICATION: FPC or CPP a plus but not required.
