Role Mission:

The Staff Accountant supports the monthly close by preparing accurate and well-documented transactional and recurring journal entries across multiple entities. This position retrieves source reports, applies established account and dimension crosswalks, prepares Sage imports, reconciles entries to supporting documentation, investigates routine discrepancies, and completes corrections based on review feedback. The Staff Accountant reports to the Assistant Director of Accounting.

 

Location:

This is a full-time remote position with preference given to candidates who live in Florida, Ohio or Texas, or who are willing to relocate.

 

Travel Expectations:

Up to 20% of the time during the busiest parts of the year

 

What You’ll Do – Accountabilities

 

In this role you will manage or assist with:

·           General Ledger:

  • Prepare biweekly and monthly cash disbursement and cash receipt entries for IDEA Florida, IDEA Louisiana, and IPS Enterprises using verified supporting documentation.
  • Apply established account and dimension crosswalks and prepare balanced Sage Intacct journal-entry imports.
  • Prepare monthly reclassification entries based on reviewed entries and approved direction from accounting management.
  • Assist with grant-related expenditure and revenue entries, reconciliations, and supporting schedules as assigned.
  • Reconcile journal-entry totals to source reports and verify that entries are complete, balanced, and coded to the appropriate entity, account, function, funding source, project, and school or region.
  • For every journal entry, open the entry, upload the applicable attachment or attachments, save the entry, and submit it individually for approval.
  • Maintain complete journal-entry support, PPC documentation, crosswalks, procedures, and clear audit trails.
  • Research routine discrepancies, escalate unusual or unmapped activity, and make timely corrections based on review feedback.
  • Support monthly and year-end close, audit requests, process documentation, and other accounting projects as assigned.

·           Debt Accounting

  • Prepare recurring bond and loan entries, including debt issuance cost amortization, interest accruals, loan accruals, and premium or discount amortization.
  • Pull and review bond and loan statements, account activity, debt schedules, and other source documentation needed to prepare monthly entries.
  • Prepare monthly bond account activity for interest income, debt service payments, requisitions, fees, transfers, payoffs, and other routine activities.
  • Prepare and maintain the monthly bond liability and debt service roll-forward schedules.

·           Lease Accounting

  • Retrieve monthly LeaseCalcs reports for IDEA Florida and IPS Enterprises and confirm the correct entity and accounting period.
  • Apply established account and dimension crosswalks and prepare balanced Sage Intacct lease journal-entry imports.
  • Reconcile completed lease entries to LeaseCalcs source reports and supporting schedules.
  • Maintain lease-related PPCs and supporting documentation.
  • Add or update new lease agreements and amendments in LeaseCalcs.
  • Prepare and maintain the monthly lease roll-forward schedules.

 

What You Bring – Competencies

 

Knowledge and Skills:

  • Experience in general ledger, debt, and lease accounting.
  • Experience supporting monthly, quarterly, and annual close processes with accountability for timeliness and accuracy.
  • Ability to prepare clear, well-documented, audit-ready schedules and supporting documentation for interim, year-end, and single audit engagements.
  • Skilled in building productive relationships and providing high-quality support to the team and cross-functional stakeholders through clear, timely, and purposeful communication.
  • Excellent organizational, reconciliation, analytical, and critical thinking skills.
  • Commitment to accuracy, integrity, and continuous improvement.
  • Ability to work effectively in a multi-entity, fast-paced environment with competing priorities.

 

Required experience:

  • Education: Bachelor’s Degree Required. Bachelor's degree in Accounting, Finance, Business Administration, or related field is preferred.
  • Experience: 1-3+ years of progressive experience in accounting roles.
  • Experience in nonprofit, education, fund accounting, or multi-entity environments is highly preferred.
  • Licenses or Certifications (if applicable): CPA preferred but not required.
  • Experience with Sage Intacct preferred.

 

Physical Requirements: (Optional)

·           Must be able to sit for extended periods of time without being able to leave the work area.

·           Must be able to lift and carry small children up to 40 pounds in case of emergency.

·           Must be able to work in indoor and outdoor environments, including in times of excessive heat or cold

Compensation & Benefits:

Salaries for people entering this role typically fall between $62,000 and $72,000, commensurate with relevant experience and qualifications and in alignment with internal equity. This role is also eligible for performance pay based on organizational performance and goal attainment
