Job Description Summary

The Senior Transaction Coordinator provides advanced transaction management, reporting, financial, and operational support for a regional portfolio of corporate real estate transactions across North America and Latin America. This role serves as a key partner to Transaction Managers, brokerage teams, portfolio leadership, and client stakeholders by coordinating complex transaction activities, managing critical transaction data and reporting, supporting financial analysis, and ensuring compliance with client governance requirements.
The successful candidate will demonstrate strong analytical, organizational, and communication skills while helping drive operational excellence, process consistency, and high-quality service delivery across a dynamic real estate portfolio. In addition to supporting transaction execution, this role is expected to identify process improvement opportunities, mentor junior team members, and contribute to account-wide initiatives.

Job Description

Essential Functions and ResponsibilitiesTransaction Management Support
  • Support lease renewals, expansions, relocations, dispositions, acquisitions, and flexible workplace transactions throughout the Americas region.
  • Coordinate transaction activities from initiation through closeout, ensuring adherence to client requirements, governance processes, and critical milestones.
  • Prepare, review, and maintain transaction documentation, including transaction approval packages, engagement letters, commission agreements, lease summaries, and other transaction-related materials.
  • Monitor critical dates, transaction milestones, notice requirements, and key obligations across the portfolio.
  • Facilitate execution and distribution of legal and transaction documentation while maintaining complete transaction records.
Reporting and Analytics
  • Prepare and maintain portfolio reporting, transaction trackers, KPI dashboards, and executive-level summaries.
  • Analyze transaction data and identify trends, risks, and opportunities for portfolio optimization.
  • Support development of business cases, occupancy cost analyses, financial comparisons, and negotiation summaries.
  • Prepare market comparisons, proposal evaluations, RFP matrices, and decision-support materials for client stakeholders.
  • Ensure the accuracy, completeness, and integrity of transaction data across reporting platforms and databases.
Financial and Revenue Management
  • Facilitate commission tracking, invoicing, revenue reporting, and transaction fee administration.
  • Support validation of transaction financials, lease economics, and reporting assumptions.
  • Coordinate with finance and accounting teams to monitor invoice processing, commission payments, revenue recognition, and related financial activities.
  • Assist with reconciliation of transaction-related financial data and reporting.
Stakeholder Coordination
  • Serve as a primary point of coordination between transaction management, brokerage teams, lease administration, finance, legal, workplace, and portfolio stakeholders.
  • Coordinate meetings, transaction updates, and stakeholder communications.
  • Support client-facing presentations and reporting activities.
  • Ensure timely follow-up on action items, approvals, and outstanding transaction requirements.
Process Improvement and Quality Assurance
  • Maintain transaction management tools, templates, playbooks, and reporting standards.
  • Identify opportunities to improve efficiency, standardization, reporting quality, and service delivery.
  • Perform quality control reviews of transaction documentation, reporting, and system data.
  • Support onboarding and training of new team members and share best practices across the account.

Education and Experience
  • Bachelor's degree in Real Estate, Finance, Business Administration, Economics, or a related field preferred.
  • 3-5+ years of experience supporting commercial real estate transactions, portfolio management, lease administration, brokerage operations, corporate real estate, or related disciplines.
  • Experience supporting regional or global corporate occupier accounts preferred.
  • Strong proficiency in Microsoft Excel, PowerPoint, and reporting platforms such as Smartsheet, CoStar, Power BI, Tableau, or similar systems.
  • Demonstrated ability to manage multiple priorities in a fast-paced, client-facing environment.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $25.13 - $29.56
