About the Role 
Stratom is seeking a highly organized, hands-on Senior HR & Operations Specialist to support the people, administrative, financial, and operational needs of our growing robotics and defense technology company. 
This role is a good fit for someone who enjoys variety, takes ownership, and can keep day-to-day operations moving in a small, collaborative engineering environment. You will be a trusted resource for employees and managers while helping improve the processes that support our continued growth. 
 


Duties and Responsibilities
HR Operations 
  • Manage day-to-day HR administration and support employees and managers with routine HR matters. 
  • Coordinate onboarding and in-processing, including I-9s and employment documentation. 
  • Maintain employee information in payroll, benefits, and HR systems. 
  • Process semi-monthly payroll, including time sheet review and related changes. 
  • Coordinate benefits administration and annual open enrollment. 
  • Maintain accurate, confidential employee and HR records. 
  • Support compliance with federal and state employment requirements and company policies. 
Finance and Administrative Support 
  • Coordinate employee expense reports and other administrative processes. 
  • Manage Accounts Receivable, Accounts Payable, vendor payments, inventory, and monthly close activities as required
  • Process customer quotes, sales orders, invoices, purchase orders, and related financial documents. 
  • Maintain organized financial, vendor, purchasing, and operational records. 
Operations Coordination 
  • Work with Engineering and Operations on vendor purchase orders and received purchases. 
  • Coordinate purchasing, shipping, receiving, and vendor activities as needed. 
  • Identify practical ways to improve HR, administrative, financial, and operational processes. 
Business and Contract Support 
  • Support annual insurance activities, government reporting, audits, and other business requirements. 
  • Assist with government contract administration and related documentation as needed. 
  • Prepare contract reports, documents, and WAWF invoicing as needed. 
  • Manage subcontractor documentation, including NDAs, agreements, 1099s, and required records. 
  • Take ownership of special projects and other duties as assigned. 

Required Qualifications
  • Bachelor’s degree required. 
  • Bachelor’s degree in Business Administration, Human Resources, Accounting, Finance, or a related field preferred. 
  • 5+ years of HR operations experience, including hands-on support for payroll, benefits administration, onboarding, employee records, and day-to-day HR processes. 
  • Experience managing multiple priorities in a fast-paced, growing organization. 
  • Strong organization and attention to detail. 
  • Sound judgment, ownership, and the ability to work independently. 
  • Strong written and verbal communication skills. 
  • Discretion with confidential employee, financial, and business information. 
  • Proficiency with Microsoft Office/Office 365 and the ability to learn new business systems quickly. 
Preferred Qualifications

  • Experience in a small business, engineering, manufacturing, technology, aerospace, robotics, defense, or product-based environment. 
  • Working knowledge of employment and labor laws. 
  • Experience supporting purchasing, vendor management, inventory, shipping, receiving, or basic accounting processes. 
  • Experience with contracts, subcontractor documentation, NDAs, 1099s, or similar business records. 
  • Experience with HRIS, payroll, benefits, accounting, or ERP systems. 
  • Experience supporting government contractors or government-funded programs. 
  • Familiarity with WAWF, Exostar, Unanet, or similar government and financial systems. 
 
Soft Skills 
  • Approachable demeaner and able to build trust across the company. 
  • Organized and dependable when priorities shift. 
  • Ability to work in an ambiguous, fast-paced, lean environment.  
  • Comfortable handling confidential information with care and discretion. 
  • Clear and practical in written and verbal communication. 
  • Willing to jump in where needed across HR, administration, finance, and operations. 
  • Good at spotting small process improvements that make work easier for the team. 
  • Able to work well with engineers and translate needs into clear next steps. 
Additional Requirements 
This position requires eligibility to access information subject to U.S. export control regulations, including ITAR and/or EAR. Employees must meet applicable eligibility requirements, including U.S. citizenship. 
A DoD Security Clearance is not required to begin employment, but employees must maintain eligibility to obtain one.
