Duties and Responsibilities
- Manage day-to-day HR administration and support employees and managers with routine HR matters.
- Coordinate onboarding and in-processing, including I-9s and employment documentation.
- Maintain employee information in payroll, benefits, and HR systems.
- Process semi-monthly payroll, including time sheet review and related changes.
- Coordinate benefits administration and annual open enrollment.
- Maintain accurate, confidential employee and HR records.
- Support compliance with federal and state employment requirements and company policies.
- Coordinate employee expense reports and other administrative processes.
- Manage Accounts Receivable, Accounts Payable, vendor payments, inventory, and monthly close activities as required
- Process customer quotes, sales orders, invoices, purchase orders, and related financial documents.
- Maintain organized financial, vendor, purchasing, and operational records.
- Work with Engineering and Operations on vendor purchase orders and received purchases.
- Coordinate purchasing, shipping, receiving, and vendor activities as needed.
- Identify practical ways to improve HR, administrative, financial, and operational processes.
- Support annual insurance activities, government reporting, audits, and other business requirements.
- Assist with government contract administration and related documentation as needed.
- Prepare contract reports, documents, and WAWF invoicing as needed.
- Manage subcontractor documentation, including NDAs, agreements, 1099s, and required records.
- Take ownership of special projects and other duties as assigned.
Required Qualifications
- Bachelor’s degree required.
- Bachelor’s degree in Business Administration, Human Resources, Accounting, Finance, or a related field preferred.
- 5+ years of HR operations experience, including hands-on support for payroll, benefits administration, onboarding, employee records, and day-to-day HR processes.
- Experience managing multiple priorities in a fast-paced, growing organization.
- Strong organization and attention to detail.
- Sound judgment, ownership, and the ability to work independently.
- Strong written and verbal communication skills.
- Discretion with confidential employee, financial, and business information.
- Proficiency with Microsoft Office/Office 365 and the ability to learn new business systems quickly.
- Experience in a small business, engineering, manufacturing, technology, aerospace, robotics, defense, or product-based environment.
- Working knowledge of employment and labor laws.
- Experience supporting purchasing, vendor management, inventory, shipping, receiving, or basic accounting processes.
- Experience with contracts, subcontractor documentation, NDAs, 1099s, or similar business records.
- Experience with HRIS, payroll, benefits, accounting, or ERP systems.
- Experience supporting government contractors or government-funded programs.
- Familiarity with WAWF, Exostar, Unanet, or similar government and financial systems.
- Approachable demeaner and able to build trust across the company.
- Organized and dependable when priorities shift.
- Ability to work in an ambiguous, fast-paced, lean environment.
