1) HR Operations & Administration
- Maintain employee personnel files and HR records in compliance with company requirements.
- Ensure all employee information and Workday transactions are accurate and up to date.
- Prepare employment contracts, verification letters, certification letters, confirmation letters, and other HR documentation.
- Manage employee documentation throughout the employee lifecycle.
- Support HR audits and compliance reviews.
- Coordinate recruitment activities including job postings, interview scheduling, candidate communications, and pre-employment requirements.
- Support candidate screening and recruitment administration.
- Coordinate onboarding activities and new employee orientation.
- Facilitate employee onboarding documentation and system setup.
- Ensure a positive onboarding experience for all new hires.
- Prepare and validate payroll inputs and supporting documentation.
- Coordinate payroll processing with payroll providers.
- Verify attendance, leave transactions, salary changes, overtime, allowances, and other payroll-related information.
- Respond to payroll inquiries and resolve payroll discrepancies.
- Maintain payroll records and reports.
- Administer employee benefits programs including insurance, HMO, and statutory benefits.
- Manage employee enrolments and terminations for benefit programs.
- Coordinate employee claims and benefits inquiries.
- Process SSS, PhilHealth, Pag-IBIG, and other statutory transactions.
- Ensure timely compliance with statutory reporting requirements.
- Monitor probationary periods and employee confirmations.
- Coordinate promotions, transfers, contract renewals, and resignations.
- Support offboarding activities including clearances and exit documentation.
- Conduct exit administration and maintain accurate records.
- Coordinate employee engagement programs and wellness initiatives.
- Support employee events, recognition activities, and town halls.
- Assist with employee surveys and engagement action plans.
- Promote employee participation in engagement activities.
- Prepare monthly HR reports, headcount reports, and workforce metrics.
- Maintain accurate HR databases and reporting dashboards.
- Support management reporting requirements.
- Generate reports required by internal stakeholders and government agencies.
- Serve as the first point of contact for employee HR inquiries.
- Provide guidance on HR policies, benefits, leave administration, and HR procedures.
- Escalate complex employee relations, disciplinary, labor, compensation, or performance matters to the HR Business Partner or HR Generalist.
- Build positive working relationships across the organization.
- Support the implementation of HR projects and initiatives.
- Identify process improvement opportunities within HR operations.
- Participate in regional and local HR initiatives.
- Undertake special projects and ad hoc assignments as required.
- Support the administration and coordination of employee wellbeing, occupational health, and wellness programs for CAE Philippines.
- Collaborate closely with the HR Business Partner or HR Generalist and site-based nurse to facilitate health and wellness initiatives, annual medical examinations, vaccination programs, health awareness campaigns, employee assistance activities, and regulatory compliance requirements.
- Maintain health-related records and documentation, coordinate communications and scheduling of wellness activities, support reporting and data tracking, and liaise with employees, healthcare providers, and government agencies as required.
- Assist in promoting a healthy and positive workplace environment while ensuring the timely execution of employee wellbeing and occupational health programs.
