ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Support the CFO, CLO, CCO and other executive leaders with administrative activities like:
- schedule meetings and conferences on/off site, booking locations, setting up rooms, handling invoices and services needed, etc.
- serve as the point of contact between Executives and meeting attendees.
- manage and coordinate travel arrangements.
- complete and submit expense reports.
- general calendar management across multiple time zones.
- Facilitates information flow between executives and other members of senior staff, internal and external constituents, etc. in a timely and accurate manner.
- Prepare internal and external corporate documents to present as required.
- Maintain an organized filing system of paper and electronic documents and records.
- Coordinate and manage travel; book air, hotel and transportation arrangements which are convenient, cost effective, and in accordance with company travel policies for all executives.
- Collaborate with the CEO Sr. EA to manage meeting preparations including meals, accommodations, equipment, etc. for Board of Directors meetings, Scientific Advisory Board meetings, company events and others as requested.
- Coordinates investor meetings, conferences, and roadshows. Handles sensitive financial data and corporate information with high discretion.
- May work with senior staff and/or attorneys in coordinating information, lab notebooks, etc.
- Serve as the backup for Admin team; provide relief during absence/etc.
- Other duties as assigned.
- Bachelor’s degree in related discipline and a minimum of 5 years of experience in a high-level administrative position where support to multiple leaders and/or functions is provided; or an equivalent combination of education and experience.
- Skilled in the use of Microsoft office suite, especially Word, PowerPoint, Excel.
- Previous experience in medical device company preferred.
- Excellent communications skills (both written and verbal) required.
- Ability to work independently and to prioritize activities and workload.
- Demonstrated experience handling tasks of diverse scope and great complexity with upmost discretion and confidentiality.
