- Manage complex calendars for senior leaders of the Finance and Accounting team: scheduling and prioritizing appointments; trouble shooting scheduling challenges; and booking meetings, conferences, teleconferences, and travel. This includes long-range planning as well as juggling frequent last-minute changes and coordinating with internal and external constituents.
- Complete all travel logistics and itineraries, facilitate preparation for travel, and prepare expense reports for senior leaders on the Finance team.
- Monitor new technologies and apps in use at the company, learn them and guide leaders in implementation for maximum efficiency/effectiveness.
- Protect the calendars of senior leaders, holding a firm line while still providing excellent service to the people asking for time.
- Plan, schedule, and coordinate meetings, retreats, and other events with internal and external participants.
- Ensure agendas and prep assignments are distributed in time for effective meetings.
- Develop PowerPoints for presentations and facilitate team projects.
- For in-person meetings: prepare agendas; order meeting supplies; make copies; coordinate room set up and audio/visual; coordinate with speakers; order/pick-up/lay out refreshments; etc.
- Provide project support including note taking, recording and archiving notes, decisions, and action steps, tracking tasks and follow-ups, and conducting document management.
- Manage special projects and initiatives as assigned by the CFO.
- Draft communications for senior leaders, incorporating the voice and style of the team.
- Interface with high level contacts both external and internal.
- Review admin functions and institute process improvements to simplify and streamline.
- Ad hoc projects assigned by senior leaders.
- Minimum 5-10 years' corporate experience / C-Suite experience preferred.
- Proficient in Microsoft applications (Word, Outlook, PowerPoint, Excel).
- Polished and professional demeanor with good interpersonal skills.
- Demonstrate a willingness to take on additional responsibilities and/or new projects.
- Able to work independently and think strategically.
- Ability to accomplish routine and habitual tasks with care and attention to detail.
- Hands-on problem solver with excellent follow through abilities.
- Consistently maintain discretion and confidentiality on all fronts.
