Job Summary

Summary: Specializes in providing administrative and secretarial support to senior executives or chiefs (e.g., Top Leader of divisions, Services, or administrative units). Responsibilities may include coordination and scheduling, correspondence and presentation preparation, and travel arrangements. Requires highly proficient/advanced administrative skills

Essential Functions:
-Perform secretarial and administrative duties for a senior leader or board member.
-Manage schedule, arrange appointments, travel, meetings including coordinating documents, refreshments and resources, and conference calls.
-Prepares correspondence, meeting minutes or executive summaries.
-Maintains files and office supplies, budget records, reconciles and verifies expenses, and completes reimbursements.
-Work requires some analysis and use of initiative and independent judgment.
-Remain knowledgeable of corporate policy.
-Often called upon to interpret and communicate executive or board's intent to other employees.
-Perform payroll functions for executive team.
-Assists other administrative/executive assistants and may assist with orientation and training of staff.
-May make contacts of a sensitive, complex, and confidential nature.
-Completes most complex tasks under minimal supervision.


 

Qualifications

Experience: Associate's Degree Related Field of Study required or Bachelor's Degree Related Field of Study preferred

Licenses and Certifications:

Experience: Experience as an Administrative Assistant to Executive or Chair/Chief or Senior Leader 5-7 years required

Knowledge, Skills and Abilities:

Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint.

Ability to proofread and edit written documents.

Ability to manage more complex phone calls, and give more detailed information, solving more complex issues as appropriate.

Highly proficient in all communication skills (phone, verbal and written).

Ability to handle sensitive information and situations with poise and professionalism.

Strong organizational, coordination and judgment skills.

Ability to prioritize effectively.

Ability to problem solve and troubleshoot.

Ability to analyze a situation and determine best course of action within established guidelines.

Basic math knowledge with some knowledge of bookkeeping.

Advanced understanding and use of medical terminology and comprehension of billing and fiscal information.

Ability to demonstrate good leadership skills in a team environment, including ability to provide guidance, orient, train and assist other administrative staff

The Senior Executive Assistant serves as a trusted partner to the Executive Director of Central Sterile Processing & Supply (CSPS) and the CSPS leadership team, providing comprehensive executive, operational, and administrative support across a complex, multi-site healthcare environment.

This highly visible and influential support role is responsible for helping leaders operate effectively by coordinating priorities, facilitating communication and follow-through, managing information flow, and supporting strategic initiatives across multiple hospitals and departments. The individual will serve as a central point of coordination for leadership activities, helping to ensure operational efficiency, organizational alignment, and timely execution of key priorities.

The successful candidate will operate with a high degree of autonomy, professionalism, discretion, and sound judgment while managing sensitive information and competing priorities. They will be expected to proactively identify opportunities to improve how work is accomplished by leveraging technology, automation, AI-enabled tools, and standardized workflows that reduce administrative burden and support a modern, data-informed leadership operating model.

This role is ideal for an individual who is highly organized, technologically savvy, intellectually curious, and energized by creating systems, improving processes, and helping leaders and teams perform at their highest level.

Primary Responsibilities
  • Develop and maintain executive dashboards, tracking tools, reports, and information management systems that support leadership decision-making, operational visibility, and organizational accountability.

  • Actively manage executive communications and information flow by monitoring correspondence, triaging priorities, drafting communications, tracking follow-up actions, and ensuring timely resolution of critical issues.

  • Coordinate action item management, project deliverables, and cross-functional initiatives across multiple leaders, departments, and sites to ensure alignment, accountability, and timely execution of organizational priorities.

  • Prepare executive briefing materials, presentations, reports, and meeting documentation that synthesize complex information into actionable insights for leadership review and decision-making.

  • Identify, implement, and optimize digital workflows, automation solutions, AI-enabled tools, and standardized processes that improve efficiency, reduce administrative burden, and enhance the effectiveness of leadership operations.

  • Support strategic initiatives, regulatory readiness activities, organizational integration efforts, and special projects through planning, coordination, stakeholder engagement, process improvement, and project management support.
