About the Role

As a Senior Executive Administrative Assistant, you will serve as a strategic partner to our President and Executive Leadership Team. We are looking for a highly organized, business-minded professional who thrives in a fast-paced executive environment and enjoys solving complex problems before they arise. You'll play a critical role in helping our leadership team operate efficiently by managing priorities, coordinating strategic initiatives, supporting our Board of Directors, and ensuring the seamless execution of executive operations.

What You’ll Do

Executive Partnership

  • Serve as a strategic partner to the President and Executive Leadership Team by anticipating needs and proactively managing priorities.
  • Manage complex executive calendars, balancing competing priorities while ensuring leaders remain focused on the highest-value work.
  • Coordinate executive travel, meetings, customer visits, and business commitments.
  • Prepare executive correspondence, presentations, reports, and confidential communications.
  • Conduct research, gather information, and prepare materials that support executive decision-making.

Board of Directors Support

  • Coordinating Board and Committee meetings.
  • Develop and distribute Board books, agendas, presentations, and supporting materials.
  • Manage meeting logistics, executive sessions, travel coordination, and accommodations.
  • Track action items and follow-up activities resulting from Board meetings.

Executive Operations

  • Coordinate the Executive Leadership Team operating rhythm, including recurring leadership meetings, strategic planning sessions, and executive retreats.
  • Prepare meeting agendas, presentation materials, minutes, and action-item tracking.
  • Reconcile executive travel expenses, purchasing card transactions, invoices, and other executive-related expenditures.

 

Required Qualifications

  • Bachelor's degree, or equivalent experience.
  • 7–10+ years of progressively responsible executive administrative experience supporting C-suite executives.
  • Demonstrated experience supporting executive leadership in a complex, fast-paced organization.
  • Exceptional project management and organizational skills.
  • Outstanding written and verbal communication skills.
  • Advanced Microsoft Office proficiency, including Outlook, Excel, Word, PowerPoint, and Teams.
  • Ability to manage multiple priorities with exceptional attention to detail.
  • High level of discretion and ability to maintain strict confidentiality.

Preferred Qualifications

  • Experience supporting a Board of Directors.
  • Experience within a retail, multi-unit, or other complex operating environment.
  • Experience coordinating executive meetings, Board governance, and strategic initiatives.
  • Experience managing executive travel, expense administration, and executive communications.
