What You'll Do:
- Operational Leadership
- Lead the logistics workstream for assigned events, overseeing various phases of planning, production, and onsite execution.
- Oversee and direct event logistics and timelines, workbacks, and cross-functional deliverables to ensure seamless execution and alignment with broader marketing goals.
- Handle shipping and inventory management of event materials, maintaining processes that support scalability and accuracy.
- Develop and manage vendor and production partner relationships, negotiating scopes, coordinating deliverables, and holding partners accountable to timelines and quality standards.
- Serve as an on-site lead at select events, empowered with the ability to make real-time operational decisions related to scheduling, staffing, vendor execution, and attendee logistics to uphold quality and brand standards.
- Oversee event budgets for assigned programs, tracking expenses, approving invoices within assigned limits, reconciling spend, and providing variance insights and recommendations to leadership.
- Operational Execution & Program Oversight
- Coordinate event logistics including travel, lodging, catering, AV, and onsite materials, balancing strategic oversight with detailed execution.
- Manage shipping and inventory processes for event materials, ensuring accuracy, efficiency, and scalability across multiple programs.
- Oversee event registration workflows and attendee communications, ensuring accuracy, scalability, and a high-quality attendee experience while delegating or executing tasks as appropriate.
- Partner closely with cross-functional teams (Marketing Ops, Sales, Customer Success, Creative) to align on deliverables such as event branding, digital assets, collateral, and experiential elements.
- Support event documentation and data management, maintaining key records like shipping manifests, contracts, and attendee lists, and recommending enhancements to improve accuracy and reuse.
- Collaborate on post-event reporting and analysis, including survey execution, stakeholder follow-up, and documentation of insights to inform continuous improvement.
- Continuous Improvement
- Identify and implement incremental process enhancements across logistics workflows, vendor management, and data tracking to increase efficiency and consistency.
- Partner with the Senior Manager, Global Events to evaluate opportunities for larger process redesigns or tool improvements.
- Contribute to the development of team templates, checklists, and operational best practices that scale with team growth.
What You Should Have:
- 5–8 years of experience in corporate event operations, branded or hosted events, or event marketing operations, preferably in a high-growth or global organization.
- Demonstrated ability to lead logistics strategy and vendor management with minimal oversight.
- Strong organizational and project management skills; capable of managing programs and stakeholders simultaneously.
- Excellent written and verbal communication skills with a collaborative, customer-focused approach.
- Proven ability to work independently, exercise sound judgment under pressure, and resolve complex operational challenges in real time.
- Financial acumen with experience managing budgets, reconciling expenses, and reporting on spend.
- Proficiency with Google Workspace, Slack, Zoom; experience with event software (Cvent, Bizzabo or similar) preferred.
- Ability to travel up to 25% annually, including international travel and occasional multiple-stop or back-to-back event weeks.
Nice to Haves:
- Prior experience overseeing conferences, executive programs, or branded experiential events.
- Experience working with creative agencies, production partners, and experiential or fabrication vendors.
- Strong analytical mindset and comfort evaluating tools or processes to drive efficiency and scale.
- Familiarity with project management or collaboration tools (Notion, Asana, Trello).
- Experience with event registration platforms and virtual event technologies.
- Creative problem-solver who anticipates challenges, and takes initiative to resolve them independently and/or proposes solutions.
