Job Summary

The Senior Documentation Specialist is responsible for authoring and ensuring the integrity of clear, accurate content for staff. They represent the team by leading content creation and overseeing the knowledge management for projects of varying sizes. This role includes editing documentation for accuracy and formatting, ensuring adherence to established styles and standards, and sharing insights to enhance documentation practices. Additionally, the Senior Documentation Specialist facilitates meetings, collaborates with partner departments and provides leadership and oversight for individual communities within our knowledge management system.

Job Description

Key Responsibilities/Duties – what you will be doing (top five): 

  • Performs all core responsibilities of the Documentation Specialist role with limited oversight. 

  • Reviews and edits documentation from colleagues, ensuring adherence to the styles and standards, providing feedback and coaching as necessary. 

  • Leads team and partner department meetings, sharing insights and opportunities for continuous improvement. 

  • Oversees the end-to-end management of individual communities within the knowledge management system. 

  • Proactively identifies and addresses gaps, consults on improvement options, and aligns priorities with the department’s strategic vision. 

  • Leads projects by developing and executing workplans, identifying blockers, and proposing solutions to ensure all deadlines are met. 

  • Manages team reporting responsibilities as assigned and provides support to management and team members as needed. 

  • Consults on and resolves complex knowledge management system-related issues, investigating root causes and providing effective solutions. 

  • Edits documentation of specialists through the knowledge management system. 

  • Other duties as assigned. 
     

    Qualifications – what you need to perform the job. 

     

     

    Education, Certification and Licensure 

    • Required: Bachelor’s Degree in English, communications or related field or equivalent work experience.  

     

     

    Experience (minimum years required): 

    • Required: 3-5 years of experience with a strong focus on technical writing and documentation management. Experience in editing, formatting and ensuring compliance with established style guides and quality standards is essential. Experience within the health care industry is a plus. 

     

    Skill Requirements 

    • Must demonstrate agility in supporting multiple teams and lines of business, adapting to changing priorities and demands. 

    • Must be able to provide specific, timely and respectful feedback to colleagues, fostering an environment of continuous improvement and mutual respect. 

    • Strong planning, organizational and prioritization skills to optimize productivity and achieve goals effectively. 

    • Ability to master new technical and business knowledge quickly, demonstrating an action-oriented approach and taking responsibility for outcomes. 

     

    Working Conditions and Additional Requirements (include specific requirements, e.g., lifting, travel): 

    • Must be able to work under normal office conditions and work from home as required. 

    • Work may require simultaneous use of a telephone/headset and PC/keyboard and sitting for extended durations.  

    • May be required to work additional hours beyond standard work schedule.

Salary Range

$59,712.74 -$89,569.10

The annual base salary range provided for this position represents a range of salaries for this role and similar roles across the organization.  The actual salary for this position will be determined by several factors, including the scope and complexity of the role; the skills, education, training, credentials, and experience of the candidate; as well as internal equity. As part of our comprehensive total rewards program, colleagues are also eligible for variable pay. Eligibility for any bonus, commission, benefits, or any other form of compensation and benefits remains in the Company's sole discretion and may be modified at the Company’s sole discretion, consistent with the law.
