The Sr Business Coordinator is an entry level position responsible for contributing to the overall management of all activities related to the Fleet Vehicle Program for all USCC Field Team employees within the U.S. and Canada. This includes full ownership of fleet operations and serves as the central point of coordination between Citi employees, fleet vendors, insurance partners, and internal business operations teams. The Sr Business Coordinator ensures vehicles are properly sourced, maintained, insured, and retired in a manner that supports business continuity while controlling cost and risk. This position combines operational execution, decision-making authority, vendor management, and direct employee support.
Responsibilities:
Day-to-day management of all vehicles currently on road as well as vehicles in storage (approximately 175 vehicles)
Ordering of new and replacement vehicles
Accident management reporting and vehicle insurance maintenance
Work in coordination with fleet vendor for sales of existing vehicles
Decision maker/approver regarding repair of vehicles (mechanical and accident) as well as if repairs or evaluation of value due to repairs
Manage mileage reporting activities for all fleet drivers
Management of individual vehicle plates, title and registration and any/all issues that arise
Monthly invoice reconciliation
Weekly meetings with fleet vendor (and ad hoc meetings as needed)
Day-to-day communications with field teams on an individual basis for issues as well as regular communications with all drivers
Fleet program introduction training sessions for all new hires
Partner with Citi Business Operations as needed on ad hoc needs/reporting
Align financial and management global reporting processes
Assist the business with routine financial control and reporting activities
Qualifications:
2-5 years of relevant experience
Experience managing fleet vehicle procurement and management. Fleetview (software) exp highly desired.
Familiar with NHTSA for safety and recall information on fleet vehicles preferred
Understanding of financial principles, practices and theories
Understanding of risk and controls within operations processes
Consistently demonstrates clear and concise written and verbal communication skills
Organized, adept in multi-tasking and able to handle confidential tasks with discretion
Third-party vendor relationship management exp preferred.
Education:
Bachelor’s Degree/University degree or equivalent experience
