Role Overview
The Sr. Associate/Associate – Legal provides operational and
administrative support to the Legal Department in litigation administration,
legal drafting and documentation, oversee estate-related matters, regulatory
compliance and filing/reporting, and coordination with external advocates,
government authorities, and internal stakeholders.
The role is responsible for ensuring accurate documentation, effective
records management, compliance monitoring and tracking, audit support, and
efficient execution of day-to-day legal operations. The position also supports
management and external counsel through disciplined process execution,
structured reporting, and continuous improvement of legal administration
processes.
Key Responsibilities
1. Legal
Administration & Documentation
- Maintain accurate
documentation pertaining court proceedings including pleadings, written
statements, affidavits, applications, notices, agreements, memoranda, and
official communications, ensuring proper indexing, tracking, and record
maintenance.
- Maintain physical and
digital document repositories, including archiving and retrieval of legal and
estate title deeds.
- Maintain strict
confidentiality of legal, commercial, and corporate information.

Litigation Management Support
- Coordinate with
advocates, counsels, court offices, and internal stakeholders on ongoing
litigation matters.
- Track hearing dates,
limitation periods, filing deadlines, and compliance requirements to ensure
timely action.
- Assist in the preparation
and compilation of case briefs, litigation records, and supporting documents
for management and legal counsel.
- Monitor legal disputes
and escalate potential litigation risks to the Reporting Manager and relevant
stakeholders.
3. MIS,
Records & Reporting
- Maintain and update legal
MIS, including court diaries, case trackers, NDA registers, contract registers,
compliance logs, and document repositories.
- Prepare periodic reports,
dashboards, and status updates for management and legal leadership.
- Ensure accuracy,
completeness, traceability, and integrity of legal and estate records.
4. Contract,
Estate & Registration Support
- Assist in drafting,
reviewing, formatting, and maintaining contracts, NDAs, lease deeds, licences,
MOUs, POAs, loan documents, vendor agreements, and related legal instruments.
- Maintain registers to
monitor renewal timelines, validity periods, and contractual obligations.
- Coordinate execution,
notarization, registration, and document filing activities.
- Support estate administration
activities, licence management, renewals, terminations, and related
documentation.
- Liaise with registration
authorities and external agencies for document registration and compliance
requirements.
5.
Compliance, Audit & Regulatory Support
- Support monitoring of
statutory and regulatory compliance applicable to the Company's businesses,
including mining, real estate, lending, labour, environmental, corporate, and
commercial laws.
- Maintain compliance
calendars, regulatory trackers, and statutory records.
- Coordinate submission of
information and documentation to regulatory authorities.
- Assist in internal and
external audits by preparing reports, contingent liability statements,
schedules, and supporting documentation.
- Maintain audit trails and
historical records for review and verification purposes.
- Review and maintain legal
documentation relating to import-export transactions, including declarations,
authorizations, licenses, indemnities, and other EXIM-related documents,
wherever applicable.
6. Process
Improvement & Knowledge Development
- Participate in training
and development programs related to legal operations, compliance, records
management, ERP systems, and digital tools.
- Identify and implement
improvements to enhance efficiency, accuracy, and digitization of legal
processes including AI tools/ trackers.
- Support automation
initiatives, system enhancements, and standardization of legal templates and
workflows.
- Assist in organizing
awareness and training sessions for employees on legal and regulatory
developments relevant to the Company's operations.

Stakeholder Coordination
- Collaborate with
advocates, consultants, regulatory authorities, Accounts, Estate, and other
internal departments to ensure seamless execution of legal and administrative
processes.
- Facilitate timely
communication of legal updates, hearing schedules, compliance requirements, and
documentation needs to relevant stakeholders.
- Build effective working
relationships to support efficient resolution of legal and estate-related
matters.
Requirements
Qualifications & Experience-
- Bachelor's Degree in Law
(LLB)
- Master’s in business/corporate
law or Diploma in Corporate Governance or certification in Legal documentation or
related disciplines will be an advantage.
- Sound knowledge of
applicable laws, regulations, and legal procedures, particularly within Goa.
- Working knowledge of
corporate, commercial, and import-export compliance requirements will be
preferred.
- 4 to 6 years of
experience in legal administration, legal operations, documentation management,
litigation support, contract administration, or related functions.
- Proficiency in MS Office
applications, particularly Word and Excel.
- Working knowledge of
document management systems.
- Exposure to online
filing, payment and other digital tools will be preferred.

Skills Required
