We are seeking a highly organized and proactive Senior HR and Admin Assistant to join our team. This role is primarily focused on administrative responsibilities with a significant component of HR duties The ideal candidate will manage security, transport, and canteen operations, ensure compliance with contractual workforce regulations, and handle attendance and payroll for contract workers. Additionally, they will act as the Audit SPOC for contract labor and liaise with various government authorities.

Responsibilities

Administrative Responsibilities 

  • Security Management: Independently manage the security operations to ensure a safe and secure environment for all employees and visitors. 
    Physical security and integrity of the Vashere site facilities, personnel, and assets, by implementing and managing effective security protocols, policies and procedures. 
    Maintaining a safe and secure environment, safeguarding sensitive information and preventing unauthorized access, ensuring the safety of staff and visitors, and minimizing the risk of incidents and breaches.
  • Travel & Transport Management: Manage the transportation services for employees, ensuring timely and efficient operations. 
    Maintain an efficient system that caters to the travel needs of employees while ensuring accessibility and convenience.
  • Vendor & Contract Management:Vendor and contract management effectiveness by administering timely contract execution, maintaining up-to-date records, and monitoring compliance to minimize risks. Enhance communication and foster strong relationships with vendors for optimal site administration and services.
  • Compliance Management: Ensure compliance with all regulations related to the factory,  contractual workforce, including labor laws, and company policies. Ensure that all vendors and contractors adhere to statutory compliances and regulations. Develop a robust system for monitoring compliance, including regular audits and feedback mechanisms. Foster an environment of transparency and accountability to enhance operational efficiency and mitigate risks.
  • Attendance and Payroll: Manage the attendance records and payroll processing for contract workers, ensuring accuracy and timeliness.
  • Canteen Management: Supervise the canteen services, ensuring quality and hygiene standards are maintained.
  • Audit SPOC: Serve as the single point of contact for audits related to contract labor, coordinating with various government authorities and ensuring compliance with audit requirements.
  • Bills Processing in Coupa: Ensure seamless bills processing and optimize work efficiency. This involves streamlining processes for prompt payments while ensuring accurate expense management. Integrate Coupa, our new e-procurement system, into daily operations smoothly.

HR Responsibilities 

  • CSR & Employee Engagement:Initiate and lead Corporate Social Responsibility (CSR) activity that engages employees and aligns with our company's value. 
    Plan and execute employee engagement activities that encourages employee participation, unity, and a positive cultural impact.
  • Employee Relations: Assist in addressing employee queries and concerns related to HR policies and procedures.
  • Recruitment Support: Drive the recruitment process for contract workers, including screening and interviewing candidates.
  • Training and Development: Assist in organizing training sessions and development programs.
  • Performance Management: Support the performance appraisal process for contract workers, ensuring fair and consistent evaluations.
Qualifications

Education: Bachelor’s degree in business administration, Human Resources, or a related    field.

Experience: Minimum of 5 - 6 years of experience in administrative and HR roles, preferably in a similar industry.
