AdministrativeJob Summary:This individual is responsible for providing clerical support to the Drafting Department at the Donaldsonville site. Work tasks include, but are not limited to, processing MOC’s, EWR’s and PSSR’s, document control, data processing, assisting to track Drafting Department metrics, and entering requisitions into SAP for department supplies and services.Job Description:Job Responsibilities:
Processing MOCs, EWRs and PSSRs
- Perform quality check of MOC packages being issued for PHA or Construction. Communicate deficiencies and track completion.
- Copy MOC packages being issued for PHA & Construction. Perform quality check of copies made.
- Distribute copies as directed.
- Facilitate Engineering PSSR efforts. Create and maintain a PSSR tracking report for planned outages and turnarounds, pull hard copy file and audit for required documentation, update electronic and hard copy records, and distribute copies of PSSR to affected personnel upon completion.
Document Control, Processing and Duplication
- Assign drawing numbers & line numbers for projects.
- Assist others with drawing research.
- Update controlled copies of P&ID’s and P&ID Indexes.
- Publish any revised information listed on Engineering Intranet page. (Piping specs, Engineering Standards, MI Procedures, NH3 Emissions Rates, etc.)
- Update controlled documents at the completion of each project. (Line List, Drawings, Mechanical Catalogs, etc.)
- Filing, scanning, and copying as requested.
- Maintain electronic drawing databases and indices.
Provide Administrative Support to Departmental Personnel
- Enter requisitions, track status and resolve invoicing for purchasing supplies such as “D” size paper rolls, copy paper, copier toner, engineering services, memberships, dues, etc.
- Maintain adequate office supplies for the department.
- Assist all departments during turnarounds with processing of MOC paperwork, PSSR completion, P&ID issuance.
- Assist in the continued transition from hard copy filing system to an all-electronic documentation management system.
- Maintain, update and format Drafting Department procedures as necessary.
- Assist with data collection and data entry for Drafting Department metrics.
- Assist new engineers learning the business processes within the department.
- Lead or participate in special assignments to improve departmental efforts.
- Provide support to all personnel as requested.
Internal Controls:
Understands and complies with established departmental processes and procedures designed to support internal controls efforts. Identifies and brings to the attention of department management internal controls deficiencies.
Successful incumbents will have:
- High school diploma or equivalent is required.
- Five or more years of experience in administrative support with emphasis in document control at a manufacturing or engineering firm.
- Strong understanding of various construction document types.
- Ability to read and understand construction documents is preferred.
- Knowledge of common engineering and construction work package contents.
- Experience with electronic document management systems such as SharePoint.
- Strong communication skills (written and verbal) required. Must be able to effectively communicate and interact with personnel of all backgrounds.
- Strong skills utilizing Microsoft Office, i.e. Word, Excel, Access, PowerPoint, etc.
- Basic AutoCAD skills are preferred.
- Must be willing to work overtime as needed, especially during turnarounds and unplanned outages.
- Must be willing to travel on occasion for purposes such as training.
- Demonstrate managerial ability to develop document control and organizational systems.
- Must be able to acquire Transportation Worker Identification Credentials (TWIC).
- The ability to prove drug and alcohol free at random or for cause.
