The Chief AI Office within Optum Technology is at the forefront of driving transformative AI capabilities and enablement across the enterprise. In this Senior Administrative Assistant role for the Chief AI Office team, you will be providing high-level administrative support to senior leadership. In this high-visibility position, you will manage complex executive calendars, coordinate strategic meetings, oversee travel logistics, and handle confidential executive communications in a fast-paced environment.
You'll enjoy the flexibility to work remotely * from anywhere within the U.S. as you take on some tough challenges. For all hires in the Minneapolis or Washington, D.C. area, you will be required to work in the office a minimum of four days per week.
Primary Responsibilities:
- Provide proactive, high-level administrative support to Vice Presidents and senior leadership within the Chief AI Office
- Manage complex executive calendars, resolve scheduling conflicts, and coordinate executive-level virtual and in-person meetings
- Coordinate corporate travel arrangements and manage expense reporting (e.g., Concur, Ariba, AMEX Global Travel), including invoice processing
- Oversee team logistics, including onboarding support, hardware/software provisioning, and coordination with internal business partners
- Prepare, proofread, and format executive correspondence, presentations, spreadsheets, and reporting materials using Microsoft 365, SharePoint, and OneNote
- Exercise sound judgment, discretion, and strict confidentiality when handling sensitive strategic information and executive communications

Required Qualifications:
- High School Diploma / GED
- 5+ years of progressively responsible administrative support experience, including direct support to Vice Presidents or senior executive leaders
- 5+ years of experience with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), SharePoint, and OneNote)
- 3+ years of experience managing complex executive calendars and coordinating executive-level virtual and in-person meetings
- Experience supporting multiple leaders and managing competing priorities within a complex, matrixed organization
- Demonstrated experience with corporate travel and expense management systems (e.g., Concur, Ariba, AMEX Global Travel) and invoice processing
- Proven exceptional organizational skills with a proven ability to manage multiple projects and tight deadlines simultaneously
- Proven excellent written and verbal communication skills with solid interpersonal capabilities
- Experience using AI-assisted tools (e.g., Microsoft Copilot) to draft notes, communications, and administrative deliverables
- Experience managing employee onboarding, and hardware/software requests
Preferred Qualifications:
- Experience supporting technology, engineering or AI leadership teams

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $20.00 to $36.00 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
