The Payroll Tax Coordinator supports the Payroll Tax Administrator in the management and execution of enterprise payroll tax operations, including compliance tracking, tax reporting, year-end processing, and foreign national tax administration. The incumbent assists with third-party vendor coordination and prepares regulatory filings to ensure continuous alignment with federal, state, and local tax laws. Additionally, the position serves as a critical backup resource for core payroll tax functions, monitors tax records for accuracy, and helps resolve operational inquiries across the organization.


CORE JOB FUNCTIONS                                                                                           


  • Assists with routine payroll tax reconciliations and ongoing tax reporting activities.
  • Researches and resolves payroll tax discrepancies, tax agency notices, and employee tax inquiries.
  • Supports quarterly and annual tax balancing and reporting processes to maintain compliance.
  • Maintains complete payroll tax records and compliance documentation for auditing purposes.
  • Supports the Payroll Tax Administrator in managing day-to-day operations with ADP, the University's third-party tax vendor.
  • Assists with payroll tax filings, tax deposits, agency communications, and account maintenance.
  • Coordinates issue resolution between ADP, regulatory tax agencies, and internal enterprise stakeholders.
  • Assists with Power of Attorney (POA) administrative filings and multi-state tax registrations.
  • Serves as a primary backup for annual W-2 processing activities, balancing, validation, and corrections.
  • Supports annual 1042-S tax reporting, reconciliation tasks, and related foreign national processes.
  • Maintains operational procedures and documentation to support continuous business continuity for payroll tax functions.
  • Assists with the administration of FNIS software and reviews supporting documentation for tax treaty analysis.
  • Assists with internal and external audit requests by compiling tax logs, reports, and backup records.
  • Monitors system integrations and supports tax-related system updates and compliance initiatives.

CORE QUALIFICATIONS                                                                                         

 

Education:

  • Associate’s degree in relevant field required 

Certification and Licensing:

  • Refer to department description for applicable certification requirements 

Experience:

  • Minimum 3 years of relevant experience required

  • Ability to analyze, consolidate, and interpret accounting data
  • Ability to compile, organize, interpret, and communicate accounting data and results concisely
