This position provides administrative support for the professional certification branch of the Department of Public Safety Certification and Training. Responsibilities include the accurate and timely processing of paperwork, providing prompt customer service, responding to customer related issues and supporting the Mission of the College and goals of the entire Public Safety Training Department. 

The successful candidate provides must be able to multi - task, work effectively with frequent interruptions, and meet established timelines for assigned tasks to maintain the high level of customer service required for our national and international certification program.  Accuracy and attention to detail is a critical skill set for maintaining auditable course, student, and evaluator records. 

The certification program serves approximately 10,000 registrations annually, delivering testing opportunities. In addition, this position provides administrative support to the National Certification Management Staff by assisting with day-to-day operations of the certification office, and the reporting requirements necessary to maintain accreditation through the National Professional Qualifications Board (NPQB). 

This position is one of only four individuals authorized with the security access required under certification policies and procedures for handling confidential certification examinations and testing results in accordance with accreditation requirements.

ESSENTIAL FUNCTIONS

  • Communicate with candidates, evaluators, and supervisors via email, telephone, and in person regarding certification results, testing questions, and prerequisite information in accordance with established policies and procedures.

  • Prepare, collate, assemble, and distribute written certification examinations, psychomotor skill criterion-referenced examinations, and all required testing materials and resources.

  • Register students for certification courses.

  • Manage multiple certification courses simultaneously through course files, registrations, candidate files, written and practical examinations.

  • Fulfill student transcript requests.

  • Maintain paper and electronic logs of achieved certifications, pending certifications, returned mail, reissued certifications, and candidate notification letters.

  • Evaluate and confirm candidate prerequisites for various National Certification levels.

  • Enter certification results into the certification database as a back-up to lead.

  • Issue National Certification certificates and/or unsuccessful correspondence for candidates as a back-up to lead.

SECONDAY FUNCTIONS

  • Proctor examinations for on and off site locations, as requested.

  • Function as a router for skills testing sessions for on and off site locations.

MINIMUM QUALIFICATIONS

  • High School diploma and 3 years of job-related experience in a professional office setting.

  • Self-motivated, organized, and detail oriented.

  • Proficiency with Microsoft Office applications, including Word, Excel, and Access; experience with Colleague and Jenzabar preferred.

  • Strong work ethic.

  • Ability to muti-task and prioritize work assignments.

  • Knowledge of and ability to maintain compliance with the Family Educational Rights and Privacy Act (FERPA).

  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.

PREFERRED QUALIFICATIONS
  • Associate's degree

  • Working knowledge of the National Professional Certification testing process for fire and emergency service responders.

  • Experience in handling confidential certification examinations and candidate test results.

  • Ability to adapt to short timelines, manage last-minute changes, and maintain a high level of accuracy in a fast-paced environment.

PHYSICAL DEMANDS

The position may require lifting and carrying banker boxes containing files, supplies, catalogs, and other materials. Duties may also require repetitive bending, squatting, filing, and repetitive motions involving the hands, wrists, and arms.

WORK ENVIRONMENT, TRAVEL, AND SCHEDULE

The position may require work at off-site locations, including fire stations and outdoor training centers. Travel between the College and off-site locations may be required. The position may also require occasional evening and weekend work based on program needs.

HOURLY RANGE $23.0500 - $24.6635 (commensurate with experience)
