Job Objective: The Specialized Billing position is accountable for creating invoices and credit memos, issuing them to customers by all necessary means.
Essential Duties and Responsibilities: In addition to the essential job functions described below, all associates will perform duties requested by management. Assigned responsibilities and duties may vary based upon location size and operation.
- Process sales orders (lubes) and invoices (fuel/Cardlock) to customers on a daily basis – lubes and fuel customers and Cardlock billing
- Issue monthly customer statements
- Update customer files with issued invoices
- Process credit memos
- Enter invoices into customer invoicing web sites
- Submit invoices by electronic data interchange
- Enter new RelaDyne fuel cards in Phoenix and DM2/Sage
- Scan fuel bills of lading into paperless DM2 system
Additional Responsibilities:
- Follow SOP’s (Standard Operating Procedures) for Fuel Billing
- Enter into the billing system all the mandatory information to generate the bill
- Review all information to ensure they match sales information before finalizing the bill/invoice for mailing to customers
- Provide sales order support and ensure data input is correct when entering orders
- Provide customer service support for lube and fuel sales queries
- Receive fuel bills of lading
- Support sales order process (sales order entry, putting invoices in on their website)
- Fuel Pricing entry
- Purchase order entry
- Other responsibilities as assigned/needed
Competencies:
- High organizational skills to handle multiple sales information for invoicing
- Has high computer literacy to use PC and billing systems
- Has above average interpersonal skills to work within a team
Requirements:
- A minimum of 6 months of billing/invoicing experience is required
- Must be proficient in Excel
- Previous experience working with purchase orders strongly preferred
