Job Summary:
Serves as a member of a team that handles the following procedures: processes credit/CE/AEL student admission applications, incoming/outgoing transcripts, enrollment verification, transfer credit evaluation, and test scores, and maintains records in the College's image system. In addition, the employee is expected to assist with other duties within the Registrar's office during peak periods.
Essential Functions:
- Perform general office duties, including data entry and updating, mailouts, telephone communications, filing, email communication, public contact, and supervising the imaging process of related documents
- Download, review, code, and update the admissions applications for credit/CE/AEL and verify input and proper coding into the student information system
- Process additional admissions documents and enter document data into the student information system to include but not limited to, TSI information, meningitis, SAMPOS
- Serve as the main point of contact for WRTTC in Fort Stockton for application processes
- Process incoming transcripts, military transcripts, and international transcripts for instructional review and determination of transfer credit
- Enter TSI compliance based on transcripts
- Process and code official college transcripts
- Assist with the training of new office personnel
- Assist with reporting
- Assist with the graduation process and ceremony activities
- Assist with processing student requests for official transcripts
- Other duties as assigned
Physical Demands:
- Must be able to remain in a stationary position 50% of the time
- The person in this position needs to move to other locations on campus occasionally
- This position may require occasional travel for training, meetings, and events both in and out of town
- Repetitive use of a keyboard at a workstation
- Use of manual dexterity
- The person in this position frequently communicates with others; must be able to exchange accurate information
- Frequently moves equipment or paperwork weighing up to 20 pounds
- Duties indoors and some outdoors
- Ability to work extended hours and attend Midland College or community events
Required Qualifications:
- Associate Degree or equivalent (60 college credits); or High School diploma or equivalent and two years of clerical and general office experience
- Experience working with the public
- Computer literacy including but not limited to data entry and word processing
- Knowledge of general office equipment such as copier and fax machine
- Must be able to communicate effectively in person-to-person situations in addition to engaging in general telephone assistance
- Demonstrated interpersonal, social, and public relations skills
- Ability to handle a fast-paced work environment with interruptions and detail-oriented tasks
Preferred Qualifications:
- One year of college or more highly preferred
- Experience working in a college setting; admissions or registrar's office experience is highly preferred
- Experience working with online databases
- Document imaging experience and knowledge of student information system software
- Understanding of the Texas Success Initiative, residency requirements, and computer programs such as Apply Texas and SPEEDE
