Position summary:
The Specialist serves as the primary coordinator for all marketing and communications projects within the Department. This position manages the intake, prioritization, assignment, and tracking of marketing requests from departments across campus. The Project Coordinator ensures projects move efficiently through the workflow, provides regular status updates to stakeholders, facilitates communication between team members, and helps maintain high-quality marketing deliverables that support the college's strategic goals. This position also provides administrative/clerical support for the Communications, Public Relations and Marketing department.
Position responsibilities:

  • Regular attendance of a full-time workday. Some overtime hours and/or nights and weekends may be required. This is an in-person, on-site position that requires attendance at the work site daily.
  • Serve as the primary point of contact for incoming marketing and communications requests.
  • Review and assess project requests for completeness, objectives, timelines, and resource requirements.
  • Prioritize projects in alignment with departmental goals and institutional priorities.
  • Assign projects to appropriate marketing team members based on workload, expertise, and deadlines.
  • Maintain project documentation and ensure all requests are properly tracked through completion.
  • Manage project workflows using Marketing’s project management software and established department processes.
  • Review marketing created content to ensure alignment with customer needs and Marketing Request.
  • Monitor project progress, timelines, deliverables, and deadlines and identify potential delays or obstacles and work proactively to resolve issues.
  • Generate and maintain project reports, dashboards, and workload summaries.
  • Provide regular status updates to requestors, department leaders, and marketing team members.
  • Assist with tracking Marketing requests through project development and communicate with requestors on status, due dates and deliverables.
  • Review incoming Canva projects submitted by departments for approval, or assignment to designers to review or update file in accordance with Marketing standards.
  • Assist with basic website updates as directed by the Webmaster.
  • Assist with basic information collection for PIA requests as directed by the Public Information Officer.
  • Serve as the first point of contact for web and e-mail-based inquiries received to the Marketing Department. Accurate logging and assigning these to the appropriate personnel.
  • Support the department by performing related office duties which include, but are not limited to, creating and maintaining a professional office environment, greeting and assisting customers via the telephone or in person, sorting and distributing mail, scheduling appointments and ordering and maintaining office supplies.
  • Assist Director with tracking departmental budgets and expenditures and accurately entering purchase requisitions.
  • Coordinate acquisition of marketing materials needed for events including but not limited to brochures, swag, giveaways, water bottles, etc.
  • Coordinate and schedule utilization of any vehicles or Ranger Road Show rental for events or travel.
  • Prepare departmental correspondence, reports, etc., as requested.
  • Support special events, campaigns, and institutional initiatives as assigned.
  • Serve on institutional committees, as requested
  • Other related duties as assigned by the Director.

Minimum Position Requirements:

  • Associates degree required in Marketing, Communications, Business Administration, Project Management, or a related field. Extensive related work experience will be considered in lieu of formal education.
  • Minimum of 3 years related, full-time office experience, preferably in an education or Marketing or Public Relations setting.
  • Experience managing multiple projects with competing deadlines in a fast-paced environment.
  • Strong organizational, time management, and problem-solving skills required.
  • Excellent computer skills required to include knowledge of Microsoft Office suite and internet browsing
  • Basic skills in creating or modifying basic visual content, such as presentations, flyers, social media graphics, and internal communications materials.
  • Exceptional written and verbal communication skills are required, along with a demonstrated ability to maintain a high level of accuracy and attention to detail.
  • Must be able to work in a typical office environment
  • Experience working in higher education, public sector, or nonprofit environments preferred.

Physical Demands and Work Environment:

  • Work is normally performed in a typical interior/office work environment.
  • Role may require occasional event attendance in varied physical environments, including indoor/outdoor settings subject to temperature extremes and high noise levels.
  • No or very limited physical effort required; however, the employee must occasionally lift and/or move up to 25 pounds.
  • Limited exposure to physical risk.
