Role Description:
The Specialist, Labor Relations Compliance acts as the primary liaison for internal and external stakeholders regarding labor and employee-related matters, offering guidance on established labor relations policies, procedures, and regulatory requirements, and assisting with the administration of compliance programs such as workers’ compensation, ADA, FMLA, and drug and alcohol testing.
Essential Duties & Responsibilities:
Stakeholder Support & Case Coordination
- Provides day-to-day operational support to departmental staff by coordinating case documentation, tracking activities, and assisting with workflow management.
- Facilitate communication between management, employees, and internal departments to ensure timely resolution of issues and consistent application of policies.
- Manages the Request for Information (RFI) process by coordinating responses, gathering required documentation, and ensuring timely and accurate submissions.
Process Improvement & Operational Support
- When directed by management, identifies opportunities to improve departmental processes and recommends operational enhancements to increase departmental efficiency and service quality.
- Serves as a liaison with Finance, Procurement, Information Technology, and other internal departments to coordinate operational needs and resolve cross-functional issues.
- Assists in compiling, analyzing, and preparing departmental reports, performance metrics, and operational summaries.
Training & Communications
- Assists with the coordination and delivery of training programs related to employment policies, compliance requirements, and workplace processes and procedures.
- Drafts, formats, and prepares correspondence, administrative documentation, and program materials.
- Reviews and proofreads documents for clarity, accuracy, completeness, and compliance with departmental and regulatory standards and requirements.
Administrative & Confidential Support
- Maintains, updates, and organizes electronic filing systems to ensure accuracy, accessibility, and compliance with retention requirements.
- Supports budget administration, including invoice processing, tracking expenditure, and coordinating with Finance as needed.
- Processes PARS and SPARS transactions in accordance with established procedures.
- Coordinates scheduling, logistics, and documentation for meetings, internal reviews, and other departmental activities.
- Prepares, maintains, and transmits sensitive information, documents, and reports in a confidential manner.
Program & Compliance Support
- Assists with all compliance programs by tracking requests, maintaining case files, scheduling meetings, and drafting routine correspondence under supervision or independently.
- Assists with preparing compliance reports, metrics, and compliance logs.
- Monitors compliance deadlines, certification renewals, DOT examination schedules, and required documentation to support adherence to regulatory standards.
- Serves as a secondary point of contact to the Senior Program Managers for Compliance Programs regarding completion and coordination of all tasks related to their assigned duties.
Executive & Administrative Support
- Coordinates logistics for internal and external meetings, training, and vendor engagements, including scheduling, meeting setup, and preparation of materials.
- Prepares draft agendas, meeting summaries, and follow-up communications as directed.
- Maintains organized electronic records and documentation supporting compliance programs and executive-level reporting.
